Job Description

Description

The New Student and Transition Programs (NSTP) office supports first-year and transfer students and their families as they transition to the Ithaca College community. The Special Projects Coordinator (SPC) plays a crucial role within NSTP working alongside professional and fellow student staff members to assist with the development coordination implementation and assessment of the inclusive services and programs NSTP provides. The work environment is collaborative engaging supportive and fun. You will serve as an integral part of the NSTP team supervised directly by the Assistant Director of NSTP. The academic-year team consists of the three NSTP professional staff members and 2-4 New Student Program Assistants (NSPAs).

In this position you will gain invaluable transferable skills in the areas of event planning student and family programs marketing and promotions customer service program assessment and more.

This position starts on Monday August 25 2025 and runs through the conclusion of the Fall 2025 semester with the option to continue into the spring semester following a positive performance evaluation.

Salary: $16.50/hour

Expected Hours: 10-15 hours/week

Special Projects Coordinator Description

Event Planning & Implementation

  • Support the planning and implementation of Family Weekend by
    • Meeting with professional staff CES and the Family Weekend planning committee to finalize event logistics
    • Creating a comprehensive assessment of FW in coordination with the Assistant Director
    • Helping to staff FW events
  • Support the planning of Spring Orientation 2026 including:
    • Reviewing Spring 2025 survey data to identify changes to implement
    • Coordinating student social events and required programming
    • Partnering with CES and other campus stakeholders

Assessment & Reporting

  • Evaluate the Fall 2025 Onboarding and Orientation process by:
    • Cleaning and aggregating survey data from students supporters Orientation staff and campus partners
    • Conducting quantitative and qualitative data analysis of findings
    • Contributing to the 2025 Onboarding and Orientation Report
    • Identifying trends improvements and recommendations for Fall 2026
  • Assist with the development of an assessment plan for Family Weekend by:
    • Working with the Assistant Director to design and distribute a Family Weekend survey
    • Synthesize findings to inform future event planning and enhance overall experience

Special Projects

  • Develop and maintain an Orientation spending tracker in Excel to analyze financial data for Fall 2025 Orientation.
  • Enhance the Transfer(TR) and Athlete (ATH) Orientation experience by:
    • Benchmarking against peer institutions TR and ATH programs to identify best practices
    • Facilitating focus groups with recent participants to gather qualitative feedback
    • Analyzing participant feedback and engagement data to identify trends and areas of improvement
    • Collaborate with campus partners to brainstorm improvements to better tailor programming to student needs
    • Draft a proposal to pilot new initiatives or formats to make improvements to the Fall 2026 program
  • Assist with the planning and execution of the Spring 2026 Orientation program
  • Reorganize the NSTP Teams file structure for improved access and efficiency

General Office Support

  • Provide office coverage as needed
  • Serve as mentor to new student employees and promoting a positive team culture
  • Attend weekly staff meetings when available
  • Meet biweekly with supervisor for goal-setting and progress check-ins

Qualifications

  • Strong organizational and project management skills
  • Experience with event planning and/or student programming preferred
  • Proficiency in Microsoft Excel and data analysis tools
  • Ability to work collaboratively with diverse stakeholders
  • Excellent written and verbal communication skills
  • Detail-oriented with a commitment to continuous improvement
  • Experience in public speaking or presenting to groups
  • Prior leadership experience or supervision of peers preferred
  • Completion of relevant coursework or equivalent experience in new student onboarding and /or orientation programs
  • This position is designed for students at the graduate level
