Job Description

Providing essential services to field staff and volunteers. Offering this support frees field staff for direct ministry with kids optimizes financial contributions and ensures careful stewardship of the missions assets (both tangible and intangible).

Hospitality: Partner with the OOP team in executing OOP events with excellence creativity and service:

  • Mission Lead Team (MLT): Assist the Chief of Staff in the stewardship of the Mission Lead Team (MLT)s relational care and events:
    • Logistics: Collaborate with the Chief of Staff in the preparation execution and follow-up of MLT meetings (4x/year in-person and 7x/virtual).
    • Collateral: Manage all collateral related to MLT meetings (i.e. agenda pre-reads presentation decks and content management within BoardEffect the OOPs online meeting management platform).
    • Hospitality: Partner with the Chief of Staff in caring for MLT members by acknowledging special moments in their lives showing appreciation and valuing their teams (especially MLT Executive Administrators).
  • Senior Leadership Council (SLC): Partner with the cross-functional planning teams to execute the annual in-person SLC event for the missions global leaders:
    • Leadership & Logistics: Co-lead the SLC Logistics Team whose goal is to host and execute the logistics leading up to and onsite at the SLC gathering; steward the SLC Logistics Team members with an eye for professional development opportunities; and represent the SLC Logistics Team as a participating member of the SLC Vision Team (Steering Committee).
    • Collateral: In close partnership with MarCom manage all collateral related to SLC gatherings (i.e. SLC distribution list lead-up communications pre-reads schedule and daily runs of show welcome content devotional booklet and presentation decks).
    • Hospitality: Lead the SLC Logistics Team in providing concierge support to SLC members with a special eye for those who have traveled cross-culturally to attend the event.
  • Board of Trustees (BOT): Partner with the OOP team to execute excellent board meetings 2-3 times per year:
    • Logistics: Provide lead-up and informed onsite logistical support event set-up/tear-down and A/V production (collaborating with the A/V techs and owning the presentation decks).
    • Collateral: Oversee the content management and production of the Annual Board Report which is published in conjunction with the Fall Board Meeting. As needed assist the Senior Events Manager and Chief of Staff with BOT collateral and content storage in BoardEffect.
    • Hospitality: Prioritize the guest experience of trustees special guests and MLT members at board meetings.
  • Service Center: Execute the Presidents vision of strengthening the office culture of the Service Center (both 420 and 540 N. Cascade buildings) as a place where people want to be in-person to work:
    • Leadership Logistics & Hospitality: On behalf of the OOP manage and execute onsite events that foster relationships with the President MLT and coworkers across departments such as small group lunches in the Presidents office large group events coinciding with MLT meetings and the creation of other fellowship-building opportunities.

Operations: Provide strategic organizational and administrative skills in the ongoing operations of the OOP.

  • Financials: Own monthly management of OOP budget quarterly financial reports and strategic input into the budget process via a skilled understanding of Workday and Adaptive systems.
  • Mission Governance: Partner with the Chief of Staff in maintaining an annual mission governance calendar for the OOP that includes key events missionwide cadences and decision-making rhythms.
  • Meeting Content: Serve as the content steward for the OOPs online meeting management platform (BoardEffect) including the onboarding of new trustees MLT members and MLT executive administrators.
  • Relationship Management: Partner with the Senior Events Manager in maintaining YL Connect profiles for OOP-connected individuals.
  • Administration: Support the Chief of Staff with administrative assistant needs.

Communications: Oversee strategic OOP-managed missionwide communications:

  • Missionwide Calendar: Manage the content and publish the annual missionwide calendar which integrates global often recurring missionwide key dates.
  • Organizational Chart: Maintain the OOPs organizational chart which includes MLT members and their leadership teams on a bi-annual basis for use with donors and strategic partners.
  • Staff Resources: Serve as the content steward for the OOPs Staff Resources presence (calendar bios org charts etc.)
  • Collateral: Collaborate closely with the MarCom department in the planning writing content tracking proofing and execution of collateral for OOP events along with other internal and external communications on behalf of the OOP.

Job-Specific Working Conditions

  • Position is based in Colorado Springs
  • Work is within an office setting
  • Domestic and international travel expected up to 10%

Qualifications

  • Education and Working Experience Required: Bachelors Degree in related field Minimum five (5) years of relevant experience or equivalent combination of education and experience.
  • Proficiencies: Microsoft Office Suite Workday Salesforce Staff Resources Applications Canva Project Management
  • Experience Required: A successful candidate should be effective efficient humble well-organized highly collaborative and calm under pressure. The ideal candidate will have broad capacity and capability to thrive in a fast-paced environment where multi-tasking is constant. Ideally s/he would have substantial Young Life experience and be able to work at the highest levels of discretion and confidentiality across multiple stakeholder groups. The job entails someone who is a self-starter highly effective in collaborative team environments and excellent in managing routine and mission critical matters. S/he must be diligent in follow-through and detail-oriented as this position contributes substantially to the excellence of the outcomes delivered by Young Lifes Office of the President.
