Job Summary:
We are seeking a dynamic highly organized and proactive Executive Assistant to the CEO who will support strategic and operational functions across staffing IT services and consulting verticals. This role requires a professional with exceptional communication coordination and analytical skills who can manage sensitive information with integrity and discretion.
Key Responsibilities:
Administrative & Strategic Support
- Manage CEOs calendar schedule meetings and coordinate travel and logistics.
- Prepare and organize materials for internal and external meetings (including client presentations MOMs agendas etc.).
- Act as a point of contact between the CEO and internal/external stakeholders.
- Handle confidential information and documentation with complete discretion.
Project Coordination
- Assist in tracking key projects initiatives and timelines across staffing IT and consulting functions.
- Follow up with department heads and project owners for updates and action items.
- Prepare executive summaries business reports and dashboards for review.
Staffing & HR Operations Support
- Coordinate with recruitment teams to track hiring metrics client requirements and pipeline updates.
- Support the CEO in vendor/client discussions for manpower planning contract renewals or business development.
- Assist in preparing pitch decks or presentations for new staffing proposals.
IT & Consulting Support
- Maintain high-level coordination with the IT and consulting teams for ongoing deliverables.
- Track key accounts project delivery status and operational KPIs.
- Support in documentation and compliance-related work for IT services and consulting projects.
Key Skills & Competencies:
- Excellent verbal and written communication.
- Strong command over MS Office (especially Excel PowerPoint Word).
- Experience in preparing and managing reports minutes of meetings and business data.
- Proficiency in handling multi-domain business coordination (especially IT & staffing).
- Discretion and integrity in handling sensitive or confidential data.
Qualifications & Experience:
- Bachelors/Masters degree in Business Administration or related field.
- 4 8 years of experience as an Executive Assistant preferably in a staffing/consulting/IT company.
- Prior experience working directly with senior management or CXOs.
- Exposure to recruitment operations IT project documentation or consulting processes is a plus.
