Summary:
The Administrative Assistant assists the Coordinator of Religious Education in the application of a parish catechetical and faith formation program(s) for our youth K-12th grade and young ministry (teens and young adults) including all the basic administrative duties related to the Faith Formation Program and maintaining the files and records of students and connecting the parents and families in the program to the larger parish community. Other responsibilities may include: preparing and distributing weekly bulletin communication (both paper and electronic) to parents.
Responsibilities:
This Position assists the Coordinator of Religious Education in the following responsibilities:
Organizing schedules and coordinating the faith formation for youth of a particular level or group or assists with this task.
Preparing and scheduling or assisting with sacramental programs and liturgies.
Ordering or assisting in ordering textbooks teaching materials and resources for the program.
Preparing or offering input on an annual budget and monthly grade level activities and updates.
Preparing or assisting with a yearly calendar for the program and Faith Formation Commission and assists in compiling yearly parish master calendar.
Supporting and endorsing Diocesan and parish policies.
Supervising assigned grade levels or groups in the Faith Formation program.
Recruiting or assisting with eliciting catechists and volunteers for assigned levels or groups.
Supervising or assisting with appropriate in-service training and formation of catechists.
Preparing or assisting with liturgical celebrations for students and families.
Preparing and coordinating with the pastor/pastoral administrator sacramental rites for students.
Collaborating with pastoral staff to integrate the total faith formation plan for the parish.
Preparing the disposition of the classrooms
Monitoring and ordering supplies.
Coordinating preparation of the weekly bulletin section for Faith Formation.
Assisting the CRE in monitoring and coordinating email announcements through Flocknote application.
Maintaining and assisting with sacramental records notifications and certificates on parish grounds per Diocese guidelines.
Assisting with Diocesan Appeal Capital Campaign and other major parish fundraisers.
Assisting CRE in coordinating with Safe Environment Coordinator to ensure all catechists and volunteers are in good standing with Archdiocese safe environments programs.
Maintaining continuous education and training in the faith.
Adhering to Archdiocese Code of Conduct and safe environment mandates.
Assisting CRE in supervising Faith Formation for our Youth through Edge Life Teen and other Youth Ministry activities.
Coordinating Youth Ministry volunteers.
Other duties as assigned by Pastor.
Minimum Qualifications:
Active member of a Roman Catholic parish faith community. (Sometimes this requirement may be satisfied by a person who has knowledge of and is willing to function in a manner consistent with the mission of the Catholic Church).
Adequate Catechesis or parish experience as a Catechist.
Bilingual (English and Spanish).
Three years of parish and/or administrative office experience.
Proven experience with Microsoft Office (Word Excel and Power Point) and Adobe Acrobat.
Ability to communicate with various levels of staff and management.
Ability to work evenings weekends and holidays due to work an unpredictable schedule when necessary.
Preferred Qualifications:
Demonstrated ability to set priorities and organize work effectively and efficiently.
Ability to compose correspondence minutes and/or reports.
Ability to work independently.
Ability to maintain confidentiality.
