This is an 8 hours-per-day 195 days-per-year Administrative Assistant II position with benefits atACES High School. This position is anticipated to start mid-August.
Hours for this position are 6:30 a.m. - 3:00 p.m.

JOB SUMMARY:
The Administrative Assistant II is responsible for performing a variety of clerical duties in the high school setting including the maintenance of all student records and reports student academic information collection & tracking data entry and records management. Responds to inquiries from staff parents students.
PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:
- Provide secretarial services for the High School Principal counselors and students for the purpose of sustaining accurate and up-to-date high school student records and data maintenance.
- Organize and set up student registration opportunities enter student data into system make changes to student information as needed oversee the printing and distribution of student class schedules update the Curriculum Guide which includes course titles course codes and share the content with administrators department chairs counselors and parents. Organize a variety of student presentations as part of the registration process to make sure students are informed about course and teacher options.
- Calculate and maintain student enrollment data and records; process student report cards and Running Start information for the purpose of ensuring student enrollment and report card data are current and accurate.
- Provide transcripts upon request. Write letters to verify school enrollment and/or grades in response to a variety of requests.
- Contact students and parents living outside of the District service area to request variance information.
- Create and develop documents as needed for various counseling office services and place orders for forms through the district print shop.
- Assist with preparation for high school graduation including the creation of the graduation program and seating chart and distribution of high school diplomas.
- Work with the Head Counselor to review budget information for the purpose of maintaining an accurate and balanced budget for the counseling department.
- Format the master schedule.
- Assist support staff and administration with monitoring and tracking student progress and HSPE and EOC testing coordination.
- Assist support staff and administration with implementation of various strategies to address diverse student needs and support individual educational growth and achievement goals.
- Maintain detailed records and prepare reports.
- Utilize various means of communication with students that positively reinforces progress or alerts them to further interventions that need to occur.
- Assist with front desk coverage to maintain continuity of counseling office services.
- Prioritize and organize tasks for the purpose of meeting deadlines accessibility of information and completing tasks in a timely manner.
- Work collaboratively with school staff student and parents.
- Participate in meetings and training for the purpose of sharing information improving the ones skills and knowledge implementing school initiatives and addressing student needs.
- Comply with District Policies.
- Maintain consistent presence at assigned worksite and regularly work hours specified.
- Perform other related job duties as assigned.
JOB REQUIREMENTS: MINIMUM QUALIFICATIONS

Education:
- High school diploma or its equivalent
- Vocational or technical clerical training preferred
Experience:
- Word process with accuracy at 60 w.p.m.
- Two (2) years of applicable office or clerical experience. Vocational or technical clerical training may substitute for work experience.
