We are seeking a highly organized and proactive Executive Secretary & Administrative Assistant to provide comprehensive support to our executive management team. This pivotal role requires a professional with exceptional communication skills a keen eye for detail and the ability to thrive in a dynamic office environment. The ideal candidate will be a master of multitasking capable of managing a wide range of administrative tasks with discretion and efficiency.
Key Responsibilities
- Provide high-level administrative support to executives including managing complex calendars scheduling meetings and coordinating travel arrangements.
- Serve as the first point of contact for executives screening inquiries and managing internal and external communication with professionalism.
- Prepare proofread and edit correspondence communications presentations and reports to ensure accuracy and a polished final product.
- Organize and maintain filing systems both digital and physical ensuring quick retrieval of documents and information.
- Handle confidential information with the utmost integrity and discretion.
- Provide exceptional customer service to clients partners and staff representing the executive office positively.
- Assist in the preparation for meetings including agenda creation material distribution and minute-taking.
- Utilize Microsoft Office Suite (Excel Word PowerPoint) to create spreadsheets documents and presentations that support executive decision-making.
Qualifications & Experience
- A minimum of 1 year of experience as an Administrative Assistant in a professional office environment.
- A minimum of 1 year of experience directly supporting executive-level management.
- At least 2 years of proven customer service experience.
