Job Description

The Fisher Early Learning Center is one of the most distinctive early childhood learning centers in Colorado. Position Summary

In collaboration with the Administrative Team foster family involvement and participation by orienting new families ensuring frequent and positive communication and supporting functions and fundraising efforts of Fishers Parent Advisory Council (PAC.)

  • Respond to the needs of the moment of students teachers parents and community.
  • Able to initiate projects and suggest policies and protocols to improve efficiency of administrative practices at the Center.
  • Supportive and active participant of Fishers administrative team collaborating on ongoing program development and community relations and maintaining licensing regulations and national accreditation.

Essential Functions

Coordination of Fishers annual application and enrollment process.

  • Conduct tours of the Center for prospective families once a month or more when needed.
  • Write all correspondence related to the application and enrollment process.
  • Create rosters for the upcoming school year and send out enrollment requests and sibling applications to current families.
  • Coordinate schedule changes and other re-enrollment requests for current families when possible.
  • Process all lottery applications (general and special needs lottery) for the upcoming school year.
  • Create and maintain a sibling list for placement.
  • Complete admissions for the upcoming school year with the input of the Director and Associate Director.
  • Contact accepted families and begin the enrollment process.
  • Inform unaccepted families of the next steps.
  • Coordinate collection of and processing of all enrollment paperwork with temporary support staff.
  • Responsible for all student set up and entering all tuition scholarship and billing data in FACTS in a timely manner. MCE finance will review weekly.
  • Responsible for maintaining children and family data in Banner.
  • Print and send Financial Aid Award Letters to families
  • Creation of Enrollment Agreements for all families in coordination with Mortgidge to supply Financial Aid letters director will supply DPP/UPK award information for agreements
  • Serve as a member of the Fisher Scholarship award committee steered by MCE Finance.
  • Classroom coverage as needed.

Year-round maintenance of attendance records and files for all children attending the Center.

  • Maintain classroom rosters for the Center and fill any classroom vacancies that occur during the year in a timely manner. This requires a waiting list by classroom with childs name and birthdate.
  • Responsible for keeping all childrens immunization records up to date in coordination with the Centers nurse consultant.
  • Maintain data entered into the Centers attendance system FACTS.
  • Condense childrens files for annual record retention.
  • Provide enrollment for Kinder Sumer Camp
  • Enrollment agreements for Summer Camp

Coordination of building operations

  • Reserve rooms for meetings and functions held at Fisher.
  • Reserve rooms and necessary equipment for all meetings and functions held outside of Fisher.
  • Submit and follow up on all work orders from Fisher to the University for maintenance work at Center.
  • Communicate and coordinate with playground equipment manufacturers for annual inspection and upkeep of the spaces.
  • Responsible for locking and unlocking Center doors during times of irregular use and assigning door access using the C-Cure system.
  • Purchase materials and supplies needed for the Center using Purchasing Card.
  • Responsible for the organization of and periodic upkeep of center common spaces storage spaces and front desk space.

Administrative Assistant

  • Answer phone screen phone calls refer to appropriate personnel and take messages.
  • Greet visitors and guests to Fisher.
  • Serve as the point person for questions from parents teachers and student employees.
  • Send out Center-wide communications when needed.
  • Assist teachers in classrooms when needed.
  • Answer emails on a wide variety of subjects.
  • In consultation with the Administrative Team update and revise policies procedures and written materials for the Center as needed.
  • Perform additional administrative duties as needed.

Knowledge Skills and Abilities

  • Strong verbal and written communication skills.
  • Ability to multi-task and maintain confidentiality
  • Good judgment and highly developed planning and organizational skills
  • Attention to detail and ability to effectively adapt to or develop efficient processes and systems.
  • Work proficiently in Microsoft Office (Word Excel Outlook Powerpoint etc.)
  • Work with several teams at Fisher including administration teachers and families on a variety of year round projects
  • Ability to build relationships

Required Qualifications

  • Associates degree.
  • Experience working in an educational setting.
  • 1-2 years experience in an administrative position.

Preferred Qualifications

  • Director qualified.
  • Bachelors degree.
  • Experience working in a NAEYC accredited program.
  • Two or more years of experience in an administrative position.
  • CPR and First Aid Certification.

Working Environment

  • Standard office environment.
  • Unexpected interruptions occur often and stress level is moderate to high.
  • Noise level is quiet to moderate.

Physical Activities

  • Ability to sit in front of a computer for an extended period of time.
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule

Fisher Early Learning Centers hours of operation are 7:45 AM - 5:15 PM Monday-Friday. This is a part-time position expected to work approximately 28 hours a week.

Salary Grade Number

The salary grade for the position is 7.

Hourly Range

The hourly range for the position is $22.51 - $25.38.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate departmental budget availability internal salary equity considerations and available market information but not based on a candidates sex or any other protected status.
