Job Description

SUMMARY: The Center for Digital Equity at Queens University of Charlotte is seeking a highly organized and experienced Budget Specialist to support the financial health and sustainability of our organization. This role is critical in managing and analyzing budgets producing accurate financial reports and ensuring compliance with grant and contractual obligations. The successful candidate will collaborate closely with leadership to uphold sound fiscal practices and enable data-informed financial decision-making.

The Center for Digital Equity at Queens University of Charlotte is the backbone organization for a collective impact strategy bringing together residents public and private sector partners to co-create solutions allowing every resident to thrive in our modern culture. It recognizes that digital equity is necessary for a thriving society democracy and economy. Through awareness partnerships and action it aims to empower organizations to deliver digital inclusion resources to the communities they serve.

This is a full-time benefits-eligible position reporting to the Deputy Director for the Center for Digital Equity. This position is funded for a 10-month term.This position is exempt from provisions of the Fair Labor Standards Act (FLSA) and is not eligible to earn overtime pay or compensatory time off for additional hours worked. This position is not eligible for visa sponsorship.

Essential Duties and Responsibilities

  • Budget Management & Financial Reporting
    1. Lead tracking and analysis of operational expenditures and overall budget performance.
    2. Prepare and maintain timely accurate financial reports including revenue expenditure and staffing summaries.
    3. Collaborate with leadership in developing the annual budget.
    4. Monitor reconcile and report on accounts payable and receivable.
    5. Support purchase order creation and financial documentation processes.
    6. Conduct financial reviews and resolve moderately complex account reconciliations.
    7. Develop and maintain internal financial controls to ensure grant compliance and fiscal accountability.
    8. Compile and analyze financial data to guide informed decision-making.
    9. Prepare budget-related content for programmatic and contractual reporting.
    10. Assist in maintaining ethical stewardship through sound financial policies and procedures.
  • Process Improvement
    1. Recommend enhancements to budgeting and financial reporting procedures.
    2. Coordinate with team members to streamline and improve workflow efficiency.
    3. Evaluate existing processes and recommend adjustments based on effectiveness.
    4. Contribute to planning and implementation of financially sustainable strategies.
  • Strategic Financial Support
    1. Provide financial insight to inform strategic planning and resource allocation.
    2. Support scenario planning and forecasting in collaboration with leadership.
    3. Assist in developing finance-related documentation for funders and stakeholders.
  • Other Duties
    1. Support initiatives and projects aligned with the Strategic Business Plan.
    2. Participate in strategic planning discussions and operational goal setting.
    3. Review and assess progress against financial and operational objectives.

Non-EssentialDuties:

  • Other duties and special projects may be assigned to meet department and/or university needs.

Experience Knowledge & Skills Required

  • Minimum of four years of experience in budgeting accounting finance or a related field.
  • Bachelors degree in accounting finance business administration or a related discipline orequivalent combination of education and experience.
  • Knowledge of principles and practices of budgeting bookkeeping financial analysis and auditing.
  • Knowledge of best practices in nonprofit and grant financial management.
  • Familiarity with regulatory and compliance standards related to financial reporting.
  • Strong proficiency in Microsoft Excel and other Microsoft Office tools.
  • Experience with financial software and accounting systems.
  • Critical thinking and problem-solving related to budgetary issues.
  • Effective written and verbal communication tailored to non-financial audiences.
  • Attention to detail and accuracy in financial documentation and analysis.
  • Ability to manage multiple financial priorities with efficiency and accuracy.
  • Capable of working collaboratively across teams while maintaining financial integrity.
  • Ability to adjust to changing financial conditions and organizational priorities.
