Position Summary
The purpose of the Clinic Supervisor position is to independently manage the day-to-day administrative operations of the orthodontic clinics and supervise the clinics administrative staff including front desk scheduling coordinators patient care coordinators and financial care coordinator. This role also supervises the Dental Assisting team on an interim basis until the DA Supervisor position is reopened. By providing proper training and support the Clinic Supervisor ensures that clinical staff are maintaining an appropriate patient schedule and that patient billing and collections are handled properly including Medicaid and insurance filing. The Clinic Supervisor ensures the accuracy and awareness of the Graduate Clinic schedule maintaining and inputting clinical schedule templates communicating closely with attending faculty regarding their availability and considering the resident course schedule and special events. This role is responsible for ensuring that patients are assigned to orthodontic residents appropriately and that their clinic schedule is managed properly so clinical requirements for graduation can be met. The Clinic Supervisor is responsible for ensuring the accuracy of patient ledgers and End-of-Day/End-of-Month reports in Dolphin Management. The Clinic Supervisor is also responsible for the oversight of daily deposits and all online payment reconciliation. This position supports faculty in their clinical teaching efforts including: managing and communicating on-call schedules managing predoctoral rotations and assisting in the onboarding of new clinical faculty. The Clinic Supervisor also serves as back-up to the Business Officer making P-card purchases and paying bills when needed and to the Financial Care Coordinator Patient Care Coordinator and front desk staff performing financial contracts collecting payments answering phones making dental clearance calls and scheduling patient appointments as needed.
Required Qualifications Competencies And Experience
The selected candidate should be outgoing have a strong work ethic be open to learning new skills and function well both independently and in a team-oriented environment. The selected candidate must have the ability to interface and take direction from a wide range of faculty members. The selected candidate must possess excellent verbal and written communication skills and be able to convey information across a variety of cultural societal and ethnic backgrounds. The selected candidate should be proficient in basic computer skills such as word processing spreadsheet creation and management and learning electronic patient-management software. The selected candidate must also be comfortable with the use of new and emerging technology in their work environment. This position uses numerous University and commercial software in daily tasks.
Preferred Qualifications Competencies And Experience
Previous supervisory experience; or any equivalent combination of education and experience. Considerable work experience in a dental/medical office setting preferred. Experience in the higher education setting is a plus. Knowledge of Medicaid filings and submissions financial reporting as well as creation and implementation of financial contracts. Bilingual abilities specifically in Spanish are highly desirable.
