Job Description

This is a remote position.

Schedule:

  • 40 hours per week
  • Monday to Friday 8:30am - 5:30pm with 1 hour unpaid break

Job Description

We re seeking a dedicated Administrative Assistant to join our growing electrical contracting team and play a pivotal role in streamlining operations and enabling business expansion. This exciting position offers the unique opportunity to become an expert in AroFlo job management system while supporting critical business functions including project coordination customer communication and administrative operations. You ll work closely with company leadership managing essential tasks that directly impact project success and customer satisfaction. This role is perfect for someone who enjoys variety in their work wants to develop specialized technical skills and thrives in a growth-oriented environment where your contributions make a real difference.


Responsibilities
  • Manage simple invoicing processes by copying purchase orders and preparing them for management approval
  • Become proficient in AroFlo job management system for scheduling coordination and materials tracking
  • Organize and clean up jobs and projects within the AroFlo system to maintain operational efficiency
  • Coordinate with wholesalers via email to track material availability and delivery schedules for active job sites
  • Communicate directly with customers by phone to provide updates on material tracking for ongoing projects
  • Handle general administrative duties and accurate data entry to support daily operations
  • Provide coordination support to both the director and estimating team
  • Manage file organization using Dropbox and perform basic tasks in Xero accounting system
  • Utilize integrated phone system with mobile extension for seamless customer communication


Requirements
  • Excellent verbal and written communication skills for professional customer and vendor interactions
  • Proven experience in administrative support and office coordination
  • AroFlo job management system experience highly advantageous
  • Strong proficiency with cloud-based software systems and quick learning ability
  • High attention to detail and accuracy in data entry tasks
  • Comfortable with phone-based customer service and professional communication
  • Enthusiasm for learning new systems and becoming an expert user
  • Reliable internet connection and professional home office setup
