Job Description: Executive Assistant
We are seeking a highly organized and proactive Executive Assistant to provide full-time support to our leadership team. The ideal candidate will be detail-oriented tech-savvy and capable of managing multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality.
Key Responsibilities
- Coordinate calendars schedule meetings and manage communications across multiple stakeholders.
- Draft and send professional emails reminders and follow-ups on behalf of executives.
- Organize and maintain files and documents in Google Drive and Zoho CRM.
- Update and track information accurately in the CRM system.
- Take detailed meeting notes prepare recaps and outline clear action items.
- Monitor and track executive tasks and priorities to ensure timely completion.
- Support executives in staying focused and aligned with strategic goals.
Required Skills & Qualifications
- Excellent English communication skills (both written and verbal).
- Strong organizational skills and keen attention to detail.
- Comfortable using technology AI platforms and spreadsheets.
- Proactive resourceful and entrepreneurial mindset — anticipates needs and takes initiative.
- Proven experience in executive support scheduling or project coordination.
- Ability to manage sensitive information with discretion and confidentiality.
- Strong time management skills with the ability to juggle multiple priorities.
- Availability to attend two daily check-in meetings.
Role Requirements
- Full-time availability (40 hours/week).
- Work in alignment with US Pacific Time Zone (PST) 8 AM – 5 PM.
- Prior experience supporting executives in a fast-paced environment.
- Familiarity with scheduling communication and project management tools.
