Job Description

The Gift Care Coordinator plays a critical role in advancing the mission of IMB by ensuring that every gift is handled with accuracy integrity and care. This position blends administrative precision with relational excellence providing front-line service to donors while supporting the internal processes that enable efficient and mission-aligned gift processing. By maintaining accurate records facilitating prompt acknowledgments and engaging donors with warmth and gratitude the coordinator helps cultivate trust and long-term generosity among IMBs giving community.

Location: Richmond VA Headquarters
Rate: Hourly commensurate with experience great benefits!
Hours: Full Time

Responsibilities:

  • Serve as the first point of contact for donor inquiries providing timely courteous and informed responses. Manage the gift import and allocation process in the constituent database of record (Virtuous CRM) ensuring data accuracy and policy compliance.
  • Produce acknowledgment letters tax receipts and supporting materials with a high standard of excellence. Monitor donor-related inboxes and maintain professional communication that reflects IMBs values.
  • Proactively engage with givers through outbound gratitude calls and thoughtful follow-up. Reinforce their impact and invite deeper partnership with IMB. Support stewardship campaigns and collaborate with internal teams to ensure givers feel seen valued and connected to the mission.
  • Maintain precise and up-to-date donor records within the CRM. Prepare regular reports and assist with data analysis to inform strategic stewardship efforts. Support data integrity and documentation across the gift lifecycle.
  • Partner with Finance the Church Success Center and other internal teams to ensure efficient coordination of gift-related processes. Contribute to a culture of shared excellence offering insights and assistance across Ministry Advancement.

Requirements:

  • High school diploma or equivalent required; bachelors degree preferred.
  • 2 years of experience in a related field such as donor relations customer service or administrative support.
  • Excellent communication interpersonal and problem-solving skills.
  • High level of accuracy and attention to detail with ability to manage multiple tasks and priorities.
  • Proficiency in CRM software (Virtuous CRM or similar) and Microsoft Office.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong analytical and reporting skills with ability to prepare regular reports and assist with data analysis.
