Reports to: Vice President

Location: Farmingdale NY

FLSA Status:Hourly/Non-Exempt

Job Summary

Heritage Mechanical is seeking a Project Administrative Assistant responsible for efficient and accurate control and data management of project documents. The Project Management Assistant will assist project management and the operation team with process of all required paperwork and submittals in a timely and cost effective manner. This position will be responsible for answering incoming calls and general administrative duties as required.

Compensation Range: $28 - $32 hourly range

Other Compensation: Position is eligible for a discretionary bonus

ESSENTIAL DUTIES AND RESPONSIBILITIES

Include the following. Other duties will likely be assigned.

  • Documents organizes records and distributes project documentation (i.e. correspondence RFIs Submittals Releases and Packing slips).
  • Organizes and maintains electronic and hard copy files.
  • Distribute submittals after project manager reviews and approves.
  • Expedite and tracking of material and equipment for all projects.
  • DOB filing / FDNY permits as required.
  • Routine administrative support for project team.
  • Maintains a regular work schedule and understands the importance of reliable attendance.
  • Other relevant duties may be assigned as required.

QUALIFICATIONS

POSITION REQUIREMENTS/PREFERRED SKILLS AND EXPERIENCE

  • High School Diploma or GED
  • 2 years administrative experience. Construction Project Assistant experience a plus.
  • Must be able to download files from various FTP sites.
  • Proficiency using Microsoft Office Programs (Word Excel Outllook)
  • Experience using Blue Beam Revu a plus
  • Construction Software (eSub and AutoDesk) a plus.

LANGUAGE SKILLS

Must have the demonstrated ability to effectively communicate cooperate and collaborate with multiple levels of employees.
