Description

ABOUT THE ROLE:The Agency Support Intern will support the day-to-day operations of several departments at Helping Hand including but not limited to Human Resources Advancement and Finance. This internship provides a unique opportunity to gain hands-on experience in a dynamic mission-driven environment while contributing to meaningful work that supports our team and community. The intern will assist with administrative tasks special projects reporting and departmental initiatives as needed..

SCHEDULE AND COMPENSATION:

  • On-site position week days.
  • 20-25 hours per week potential for additional hours based on availability and business/agency needs.
  • $20.00 per hour non-exempt.

A TYPICAL DAY FOR YOU AT HH:

Human Resources Support

  • Help prepare onboarding materials.
  • Help prepare New Hire Orientation sessions.
  • Assist with training and development sessions for team members by printing organizing and preparing necessary documents for the training session.
  • Assist the Director of Human Resources with benefit enrollment sessions during Open Enrollment.
  • Assist the Director of Human Resources with Town Hall Meeting registrations.
  • Assist with special HR initiatives such as team member appreciation events annual in-service and milestone celebrations.
  • Assist with special reporting as necessary.
  • Other duties as assigned.

Advancement Support

  • Assist with researching DD agencies in Illinois and develop a presentation.
  • Research states that provide top tier DD services and develop a dashboard with data.
  • Work with Advancement and the HH NextGen Student Board as it relates to monthly communications recruitment fundraising etc.
  • Research Best Buddies/Transitions/Life Skills Programs to provide marketing materials.
  • Research promote HH Volunteer and Outreach opportunities.
  • Work with Advancement on training other clients as Equally Valued Ambassadors.
  • Schedule Equally Valued Opportunities.
  • Scanning filing documentation as needed for specific projects.
  • Assist with the Move for HH event.
  • Work with the Day Program to create a list of enrichment opportunities that can then be connected with the community and volunteers.
  • Work with Advancement on developing a plan for holiday requests.
  • Other duties as assigned.

Finance Support

  • Help with invoice tracking document collection and filing.
  • Assist in preparing reports or summaries for review.
  • Support data entry and reconciliation projects.
  • Assist with potential research regarding similarly sized DD agencies.
  • Other duties as assigned.

General/Agency-Wide Support

  • Assist with agency-wide initiatives special events and team meetings.
  • Provide general administrative support such as filing printing and organizing documents.
  • Support project-based work across various departments as needs arise.
  • Shadow and observe various departments day-to-day responsibilities and obtain hands-on experience to gain a deeper understanding of the agency.
  • Other duties as assigned.

Qualifications

LAND THIS OPPORTUNITY BY HAVING:

Education:

  • Must be a current student pursuing a bachelors degree in a related field (e.g. Business Communications Non-Profit Management Human Resources Marketing etc.).

Availability:

  • Must be available for at least a 12-week internship during the fall.
  • This will be an in-person internship 20-25 hours per week. Potential for additional hours based on availability and business/agency needs.
  • Must have occasional evening and weekend availability.
  • Must be located in the Chicagoland area and be able to commute to Countryside/Hodgkins facilities.

Skill Sets:

  • Must be able to maintain appropriate confidentiality and integrity to handle sensitive information in a confidential manner.
  • Must have reliable transportation to and from Helping Hand and other various events.
  • Must have a valid drivers license with on-going personal vehicle motor insurance.
  • Flexibility to work in various settings.
  • Ability to manage multiple tasks and prioritize needs of the agency.
  • Familiarity with Microsoft Office (Word Excel Outlook) Teams Zoom etc.
  • A proactive team-oriented mindset and a willingness to learn.
  • Ability to promote and adhere to company values.
  • A commitment to a diverse inclusive and equitable work environment.
  • Ability to attend team and agency meetings as required by the position.

WORK ENVIRONMENT:

  • The work environment includes both in-office responsibilities as well as community outreach activities which may include both indoor and outdoor venues.
  • The person in this position needs to occasionally move about inside the office to assist others access file cabinets office machinery etc.
  • The ability to observe details at a close range (within a few feet of the observer).
  • Consistently position self to maintain files in cabinets or assist others.
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in all situations.
  • Ability to work in a shared multi-task multi-person business office.
