Job Description

Bethel School District is seekingqualified applicants for an 8 hours per dayOffice Coordinator III position at Prairie Mountain position works a 234 day calendar.

Nature of Work

This is a combination of office direction and coordination work advanced secretarial work and specialized administrative support work of a school and fiscal records management nature for Bethel School District. Positions of this class organize direct and participate in the office workflow of a high school or district administration office while providing secretarial assistance to the school principal vice-principal or district administrator.

Work is performed within general policies and practices established by the District administrative office or school principal. Positions of this class however may develop workflow procedures and use independent judgment in accomplishing assigned tasks. The type of work may vary depending on the work cycle of the school year. Accuracy and neatness are generally required of such positions as an error could result in serious consequences for a student school or the District.

Examples of Work

These duties are illustrative only.Other duties may be assigned.

  • Assists students by administering first aid for accidents and minor illnesses; maintains and updates immunization and other student health records; checks for head lice; and assists school nurses in conducting health screenings.
  • In a high school environment anOffice Coordinator III maintains high school transcripts and progress records including computing and updating grade point averages; updates student competency records notifies students and teachers of deficiencies; responds to student requests for transcripts and sends to colleges universities scholarship committees and the Armed Forces; and prepares data entry forms for computer processing of student information.
  • Serves as a secretary to the school principal or vice-principal; receives and screens callers; using word processing software or a memory typewriter types various correspondence confidential reports and evaluations from rough handwritten drafts or oral outlines of what is to be typed; reviews the daily mail and takes action on items not requiring the principals attention; composes routine letters; calls substitute teachers from a list approved by the District; performs special projects as assigned.
  • Serves as school office manager; receives visitors to the school and answers questions; maintains student attendance and health records; and coordinates and participates in registering new and transfer students.
  • Maintains a bookkeeping system of accounts; makes bank deposits and reconciles bank statements; prepares a financial report for the District office and keeps the principal informed of the status of accounts relative to funds budgeted.
  • Orders budgeted supplies from District warehouse or vendors; receives and distributes orders to teachers and staff; keeps a running inventory of supplies on hand; coordinates inventory of school textbooks furniture and equipment.

Selection Factors

  • Knowledge of basic English composition spelling grammar and vocabulary
  • Knowledge of the principles and practices of office management modern office procedures and secretarial practices as required by the position
  • Knowledge of the operation of standard office equipment used by the position
  • Ability to organize coordinate and direct a variety of office support activities
  • Ability to interpret and apply District and school operating policies
  • Ability to type a variety of letters reports budgets and other documents at an acceptable level of proficiency as required by the position
  • Ability to organize and maintain a variety of student and school records in an effective and efficient manner
  • Ability to analyze budget and accounting records and to prepare clear and concise reports as required by the position
  • Ability to take direction and delegate responsibility
  • Ability to maintain an appropriate and legal level of confidentiality regarding students staff and other individuals
  • Ability to establish and maintain effective working relationships with teachers students administrators parents and co-workers
  • Ability to maintain regular predictable and prompt attendance

Minimum Qualifications

High school diploma or equivalent. Three years of clerical secretarial or bookkeeping experience at a level equivalent to anOffice Coordinator I; or substituting course work and training in office management secretarial science or other related fields for up to one year of experience. Any satisfactory equivalent combination of experience and training which ensures the ability to perform the work may be substituted for the required experience.

Upon offer of employment applicants must obtain a fingerprint clearance from the Oregon Department of Education through a process authorized by the Bethel School District. Applicants would be responsible for the one-time fingerprint clearance fee.
