The Office Coordinator serves as the administrative hub for CTIs Structured Family Caregiving (SFC) program supporting Indianas Medicaid-funded service that enables eligible participants to recieve daily care from family caregivers in home settings. This position is essential to ensuring smooth daily operations while maintaining compliance with Indianas Health & Wellness Waiver and the PathWays for Aging Waiver requirements. The Office Coordinator manages critical administrative functions coordinates between clients family caregivers and program staff and upholds the highest standards of quality care and regulatory compliance.

Key Responsibilities:

- Oversee general office operations and provide comprehensive front-desk support
- Answer phones professionally including handling after-hours and weekend emergency calls
- Supervise office staff and maintain professional office enviornment standards
- Manage incoming mail correspondence and maintain office supply inventory
- Manage discharge charts thinned charts and active/inactive participant and caregiver files
- Collect and review caregiver applications
- Maintain caregiver files and ensure compliance with agency policies
- Coordinate driving and criminal record checks for ongoing compliance
- Process initial referrals to SFC Intake Coordinators who complete intake process and begin services
- Assign referrals to SFC Intake Coordinators who complete intake process and begin services
- Verify program eligibility for Health & Wellness and PathWays for Aging waivers
- Conduct eligibility checks and follow up on pending coverage issues
- Coordinate with waiver case managers on referral and intake activities
- Track referral progress from initial inquiry through admission using Therap system
- Communicate status updates to families and internal staff
- Assign SFC Coordinators and nurses their designated caseloads within Therap
- Update individual profiles in Therap to ensure current and active participants are properly reflected
- Add new caregivers to Therap system and assign them to appropriate individual caseloads
- Remove individuals from caseloads due to death discharge transfer or non-cooperation
- Monitor and update system data to maintain accurate census and service delivery tracking
- Coordinate with external case managers regarding service delivery questions and concerns
- Collaborate with case managers when billing denials occur to ensure budget updates
- Work with accounting department to resolve billing issues and ensure seamless caregiver payouts
- Monitor billing cycles and coordinate with case managers for individual budget adjustments
- Facilitate communication between case managers accounting and care teams for billing resolution
- Track and follow up on pending billing issues to minimize payment delays
- Serve as primary point of contact for clients families and caregivers
- Send mass emails to caregivers with updates on regulations and company policies
- Distribute important program announcements and regulatory changes to care teams
- Handle inquiries about services schedules and program requirements
- Conduct surveys with caregivers to assess service quality
- Make follow-up calls to participants to monitor well-being and satisfaction
- Relay urgent issues to care coordinators nurses or management as needed
- Foster positive relationships with all stakeholders
- Support Quality Improvement initiatives and BQIS surveys
- Participate in care conferences and team meetings
- Monitor compliance with state and federal regulations
- Maintain readiness for audits and regulatory surveys
- Coordinate with program nurses and care managers on service delivery


Shift schedule: Monday-Friday 8am-5pm
Evenings as needed
