Job Description

Setup and Location: WFH
Work Schedule: 9:00 AM-6:00 PM (AEST) 7:00 AM-4:00 PM (PH Time)

We are looking for a detail-oriented Finance AP officer to manage financial transactions and vendor relations efficiently. The ideal candidate will oversee virtual debit card transactions coordinate purchase orders and payments and ensure compliance with fleet management and financing requirements. This role is critical for maintaining accurate financial records timely payments and supporting audit and reporting processes.

What Youll Do

Weel (Virtual Debit Card):
  • Volume: 400-500 transactions per month
  • Follow up on missing receipts upload to GL and ensure timely fee payments on behalf of clients in Synergy.

AP Function:
  • Volume: 45-50 transactions per month
  • Entering AP invoices is managed elsewhere and excluded from this quote.
  • Raise POs attach invoices for approval by respective divisions ensure correct allocation prepare payment files for approvers and upload payments to our banking system.
  • Respond to 5-10 emails daily from suppliers and internal stakeholders.

Coordinate Fleet Management with Orix:
  • Number of Vehicles: 125 (managed by outsourced fleet company Orix)
  • Ensure QSE compliance through half-yearly vehicle maintenance.
  • Manage end-to-end financing contracts obtain two quotes for motor vehicles organize insurance.
  • Liaise with Orix for vehicle registration payments and invoices.
  • Manage transfers sales and disposals of fleet vehicles.
  • Collect FBT data.

Requirements

What You Bring
We re looking for someone who:
  • Relevant experience in AP Finance and preferably in AU market.
  • Produce ad-hoc reports as requested.
  • Assist with end-of-month AP closing.
  • Support yearly audit requirements.
  • Keen to details and good critical thinker.
  • Good communication skills.
  • Fleet management experience is a plus.

Requirements/Skills Needed: A Bachelor s degree in Accounting, Finance, or a related field is required. Experience in accounts administration, procurement, or a similar role. Proficiency in Xero for invoicing, reconciliation, and financial reporting. Familiarity with Zoho Projects CRM for project-linked financial tracking and collaboration. Knowledge in managing payroll systems and payroll compliance standards. Strong analytical skills to ensure accuracy in financial models and inventory tracking. Excellent organizational skills to manage multiple priorities and meet deadlines. Attention to detail and communication skills for coordinating with suppliers and internal teams. Airtable experience is an advantage.
