UCP of Central Arizona Laura Dozer Main Campus - Phoenix AZ

Description

The Specialty Program Coordinator supports the administrative processes of the Augmentative Alternative Communication (AAC) program intensives Cerebral Palsy (CP) early detection motor disorder clinic Durable Medical Equipment (DME) referrals and other specialty programs. This role screens all therapy referrals and determines initial steps for the onset of services. The clinical loan library and Bellows fund program are supported in this role along with clinical record requests and general administrative support and coverage for the therapy program.

Essential Functions:

Specialty Program Coordination:

AAC Administration:

  • Contact families referred for an AAC evaluation and provide patient paperwork and AAC program process steps to referred families
  • Creation of patient AAC charts in the EMR
  • Communication with referral specialist and billing team to obtain AAC evaluation and training authorizations
  • Scheduling of AAC evaluations
  • Communication of evaluation details with AAC team including interdisciplinary support needs
  • Collection review and submission of AAC device recommendation paperwork after evaluation to patient families and DME vendors
  • Communication with AHCCCS plan representatives regarding patient status in program
  • Communication with families throughout the AAC process including but not limited to: Navigating DME portal additional paperwork requirements device trial communication authorization approval communication and other AAC coordination
  • Coordination with scheduling team for scheduling and completion of AAC device trainings
  • Update the AAC program tracking spreadsheet for all aspects of the AAC program process

DME Splinting and Orthotics Administration:

  • Screen referrals for DME splinting and/or orthotics
  • Communicate with referral specialist and billing team to obtain DME splinting and/or orthotics evaluation and training authorizations
  • Schedule DME splinting/orthotic evaluation
  • Collaborate with the clinical leadership team through Teams and Motor Disorder Meeting to determine care pathway
  • Schedule appointments with families with DME splinting and/or orthotics trained therapist
  • Coordinate scheduling team for scheduling and completion of DME splint/ orthotic fitting and training
  • Collaborate with accounting team for equipment purchasing.
  • Coordinate delivery of equipment with family therapist and as needed facilities.

Motor Disorder Clinic Administration (Intensives CP Early Detection Mobility Training Constraint Induced Movement Therapy):

  • Screen specialty referrals for CP early detection and motor disorder clinic
  • Collaborate with the clinical leadership team through Teams and Motor Disorder Meeting to determine care pathway
  • Schedule appointments with families with therapists with trained therapist ( early detection mobility training CIMT etc.)
  • Screen coordinate and schedule intensive services including communication of payment information to families and the billing team

Bellows Fund Administration

  • Coordinate and track Bellows Fund annual allotments and expenditures.
  • Process therapist applications submitting to program management and President & CEO for approval.
  • Obtain consent form from families and submit application to UCP Nationals Bellows Committee
  • Collaborate with accounting team for equipment purchasing.
  • Coordinate delivery of equipment with family therapist and as needed facilities.

Clinical Loan Library Administration

  • Oversee user management of the online loan library including account creation and removal based on program staffing
  • Maintain and track equipment in the lending library website including addition and removal of equipment for loan and staff
  • Send family reminders for return of items.

Family Referral Support

  • Initial contact of all families referred to the therapy program in order to screen and coordinate referrals to determine appropriateness of services adhering to timelines for family contact within program policies
  • Addition of referred families to the therapy referral tracker
  • Collaboration with referral specialist and therapy scheduling team for processing of newly referred children

Therapy Program Administrative Support

  • Front desk coverage support
  • General therapy referral coverage support
  • General scheduling support based on program needs
  • Process requests for authorized information including subpoenas and records requests and document in patient chart

Qualifications

Minimum Experience and Training:

High school diploma or GED equivalent. One to two years of administrative support experience in business operations environment or one year of experience as an administrative assistant in a related field. Experience with health care scheduling and customer service. Other combinations of experience and education that meet the minimum requirements may be substituted. Spanish/English bilingual skillset preferred.

Knowledge of:

  • Principles and practices of general medical records/office principles.
  • Principles and practices of office etiquette and use of business equipment.
  • Possess a high degree of proficiency with MS Office products including SharePoint Word Excel Power Point and Outlook.
  • Organizational skills to accomplish multiple tasks with timely outcomes.

Ability to:

  • Communicate verbally with customers members and the public using a telephone computer in a face-to-face one-to-one setting and in a group setting
  • Make decisions in accordance with the rules regulations and ordinances covering the organizational unit to which assigned.
  • Produce written documents with clearly organized thoughts using proper sentence construction punctuation and grammar.
  • Maintain confidentiality following HIPPA Guidelines
  • Learn job-related material primarily through oral instructions and observation. This learning takes place mainly in an on-the-job training setting.
  • Work cooperatively with other employees and the public.
  • Communicate effectively with all co-workers subcontractors and members (when applicable)
  • Problem solve without direct intervention from supervisor at all times
