Job Title: Office Manager
Location:Clarksville TN
Employment Type:Part Time with growth to Full Time
Schedule:M-F 9-2pm
Reports To:Executive Director / Administrator

Job Summary
TheOffice Manageris responsible for overseeing daily administrative operations supporting clinical and administrative staff and ensuring efficient workflow within the office. This role is vital to maintaining a well-organized professional and compassionate work environment.
Responsibilities
  • Manage front office functions including phone systems mail distribution and office supplies

  • Oversee administrative support for clinical and leadership teams including scheduling correspondence and record-keeping

  • Supervise and support administrative staff ensuring timely completion of tasks

  • Maintain accurate and confidential patient and staff records in accordance with HIPAA regulations

  • Coordinate vendor relationships and facility needs (e.g. maintenance supplies IT support)

  • Assist with payroll billing HR paperwork and onboarding as needed

  • Support internal communication and foster a positive office culture

  • Ensure compliance with state and federal healthcare regulations and company policies

Qualifications
  • High school diploma or equivalent required; associate or bachelors degree in business or healthcare administration preferred

  • 3 years of experience in office management preferably in a healthcare or hospice setting

  • Strong organizational and time-management skills

  • Excellent verbal and written communication abilities

  • Proficiency in Microsoft Office Suite and healthcare software (e.g. EMR EHR systems)

  • Knowledge of HIPAA compliance and medical office procedures

  • Ability to handle sensitive information with discretion and professionalism
