Job Description

We are seeking a proactive and detail-oriented Administrative Operations Assistant to support our Operations field and management teams. This hands-on role involves a blend of administrative tasks internal and external communications and day-to-day coordination. The ideal candidate is a strong problem-solver with excellent communication skills the ability to manage multiple priorities and a collaborative mindset.

  • Collaborate cross-departmentally to coordinate travel logistics for new hire orientation attendees training classes and occasional support of company-wide meetings and events.  Address all travel or other logistical issues as they occur.
  • Assist in the coordination of on-site training sessions with internal departments and vendors.  Compose correspondence to all involved. 
  • Plan the catering for training sessions monthly new hire orientation and events as needed.
  • Coordinate weekend and holiday on-call scheduling system for all field operation locations.  Work directly with the answering service and managers to coordinate locations across all time zones.
  • Assist and support the planning and coordination of ForTecs Annual National Meeting and local office celebrations.
  • Provide administrative and project support to Operations Leadership
  • Coordinate ForTec uniform purchases for new hires and annual replenishments

Qualifications :

  • High school graduate or equivalent required.  An Associates or Bachelors degree in or equivalent experience preferred.
  • 1 -2 years experience coordinating business travel project planning and project management skills working within established deadlines.
  • Proficiency in Microsoft Office applications is required. 
  • Occasional flexibility outside business hours to address travel issues
  • Excellent teamwork interpersonal and relationship management skills self-motivation and self-directed skills are all required for success in this role.
  • Strong attention to detail follow-up follow-through good judgement and problem-solving skills.
  • Strong analytical skills excellent judgement organization a high degree of accuracy and attention to detail are all required skills for success in this role.


Additional Information :

  • An on-site work schedule is required during training.  A hybrid work opportunity is available once the training period is complete.
  • Travel requirements:  This position requires one one-of-state trip and one outside the US trip annually.
