Description

WHAT YOULL BE DOING

The Administrative Coordinator based at our Sparks branch is a dynamic role. Youll coordinate with customers and vendors by performing various routine accounting inventory control and clerical tasks required to maintain organized and efficient business operations and accessing the database for issuing material receiving material processing shipments invoicing and running gross profit reports for the branch.

Reporting to our Office Manager youll work to support the sales and administrative teams.

A highlight of your day to day will include:

  • Preparing the Gross Profit Report daily for approval by the General Manager.
  • Assisting with miscellaneous tasks including meeting scheduling small package mailing and document management.
  • Communicating via phone email or other means to customers vendors and internal Jensen Infrastructure personnel.
  • Issuing and receiving material to work orders in the Companys Enterprise Resource Planning (ERP) system.
  • Processing invoices for payment attaching the receiving documents purchase orders and other applicable documents and providing to the General Manager for approval.
  • Scheduling and coordinating all outgoing shipments with transportation providers.
  • Assisting with managing inventory levels of consumable supplies and other items as identified.
  • Assisting customers with inquiries as well as transmittal of information between customers and any of the branches. Accepting and processing credit card payments.
  • Contributing to the Jensen safety program (i.e. toolbox talks audits inspections etc.).
  • Performing routine housekeeping (i.e. cleaning organizing) and maintaining a safe clean and well-organized work environment.

WHO WE ARE LOOKING FOR

Youre enthusiastic and motivated in a fast-paced environment. You have a self-starter attitude with the ability to work effectively with customers vendors and co-workers. You have a working knowledge of MS Office (Word Teams SharePoint Outlook) and solid organizational skills. Youre a detail-oriented individual willing to ask questions when in doubt of what to do. You possess a strong sense of urgency with the ability to see projects to completion on a timely basis. Youve worked in a manufacturing construction or engineering environment for a minimum of 2 years.
