Job Description

PRIMARY PURPOSE:

To provide administrative support to the Child Nutrition Director and team at McAllen ISD so that delicious nutritious and appealing meals are served to students every day. This includes but is not limited to demonstrating excellent customer service supporting employee processing supporting team activities executing essential department tasks creating reports and leading special projects as needed.

QUALIFICATIONS:

Education/Certification:

High School Diploma or GED required

Business Technical School or Associate Degree preferred

Special Knowledge/Skills:

Strong proficiency in English and Spanish

Strong analytical and problem-solving skills

Ability to prioritize organize and complete multiple tasks

Ability to work under pressure and meet strict deadlines

Ability to use a computer with knowledge of basic word spreadsheet and database program

Knowledge of payroll and record keeping skills

Possess a strong background with computers to include Microsoft Word Excel and of the Windows environment

Experience:

Three (3) years of secretarial experience or in a related field preferred

Three (3) years of customer service experience preferred

Workdays: 226

Clerical/Technical Pay Structure: Pay Grade 5

Pay Date: Monthly

Hourly Pay Range:

Minimum: $18.50

Midpoint: $22.16

Maximum: $25.82

Note:Starting pay for a new hire in a pay range plan will be determined individually based on each persons job-related experience and salaries paid to peer employees in the same position with similar experience.

MAJOR RESPONSIBILITIES AND DUTIES/ESSENTIAL FUNCTIONS:

  1. Use the customer service model when greeting visitors answering calls and responding to internal and external inquiries; be well versed in all aspects of department activities and provide accurate information.
  2. Perform general office routines such as but not limited to: data analysis and department reports calendar management correspondence distribution file maintenance call screening front office efficiency etc.
  3. Setup work assignments to conform to business and academic calendars then sequence work to meet expected deadlines and timelines.
  4. Support human resources activities including workplace injury claims posting vacancies processing new hire tickets maintaining staff rosters and employee files and submitting work calendars.
  5. Support payroll activities including time clock and absence reports.
  6. Coordinate employee recognition information and events such as service awards employee of the year etc.
  7. Organize and communicate department trainings meetings and events as needed.
  8. Serve as the department webmaster and ensure department website is helpful and accurate.
  9. Assist the Director with weekly board update board agenda items recognitions and board reports.
  10. Assist the Director with open records JPCC and LEAD requests to ensure timely submission.
  11. Assist the Director with administrative projects as needed to support the department.
  12. Lead and grow catering revenue by updating menus receiving and processing catering orders ensuring accounting transactions are completed and accurate; ensuring catering processes are customer service oriented and by continuously improving the catering processes.
  13. Coordinate a successful summer feeding program with internal and external partners.
  14. Prepare community information materials such as memos flyers website updates and press releases to promote child nutrition activities.
  15. Support department audits with data gathering data reconciliation as needed.
  16. Follow McAllen ISD customer service standards.
  17. Perform other duties as assigned by immediate supervisor (primary evaluator).

Mental Demands:

Ability to communicate effectively concentrate reason understand verbal instructions compute and maintain emotional control under stress; ability to handle several projects at the same time with frequent interruptions

Physical Demands/Environmental Factors:

Occasional district travel occasional prolonged and irregular hours repetitive hand motions and sitting work outside of regular assigned work schedule that may involve night and/or weekend duty as requested to meet strict deadlines.
