Saltbush are seeking a dedicated Business Support Administrator to provide high-quality administrative support across the organisation within our Corporate Services Team in Darwin.
Position Details:

The Role: The Business Support Administrator plays a vital role in the Corporate Services team ensuring the smooth day-to-day functioning of Saltbush through high-quality administrative support. This includes maintaining efficient systems and processes that contribute to the organisations overall sustainability and success.
The role requires a proactive individual with strong organisational skills initiative and the ability to manage competing priorities. In addition to supporting internal teams the Business Support Administrator provides direct assistance to the Chief Executive Officer and works collaboratively across departments to meet business needs.
As a central point of contact the position demands professionalism discretion and the ability to build strong relationships with both internal and external stakeholders.
The key responsibilities of the Business Support Administrator will include:
Administrative Management
- Maintain efficient administrative systems and procedures across the organisation.
- Manage the Saltbush inbox and incoming calls.
- Ensure all employees Outlook signature strips meet company standards.
Office & Resource Coordination
- Maintain tidy and well-functioning office spaces
- Keeping meeting rooms presentable WHS compliant (e.g. no trailing wires) and stocked with necessary equipment.
- Maintaining and updating meeting room guidance documents.
- Coordinating office maintenance.
- Manage and replenish stock levels for: Office supplies stationery kitchen consumables and water.
- Staff uniforms and general consumables (e.g. toilet rolls hand towels.
- Coordinate resources in collaboration with the People & Communications Coordinator: Uniforms digital devices name badges and business cards.
- Design business cards using InDesign and maintain associated registers.
- Dispose of items such as ink cartridges in an environmentally responsible way.
Property Plant and Equipment
- Monitor and maintain property plant and equipment ensuring: Accurate and up-to-date records are kept.
- Spreadsheets for tracking and reporting are well-maintained.
- Liaise with the external IT provider to: Arrange setup of equipment (e.g. laptops phones) for new starters.
- Respond to general IT support queries within the organisation.
Staff Resources and Coordination
- Collaborate with the People & Communications Coordinator to facilitate the provision of uniforms tools and resources (including phones computers name badges and business cards) and maintain associated registers.
Support for Leadership and Teams
- Provide administrative support to the Executive Leadership Team (ELT) and program teams including: Coordinating travel meetings appointments and events.
- Taking minutes document creation and arranging catering as required.
Events and Initiatives
- Support internal events and initiatives such as: Saff celebrations and cultural events.
- Ad-hoc initiatives coordinated by Corporate Services.
- Assist with the Employee of the Quarter initiative by: Purchasing gift cards. Creating laminating and distributing certificates.
Stakeholder Management
- Maintain effective professional relationships with internal and external stakeholders.
- Maintain process maps for all key administrative tasks to ensure: Consistency. Clarity of responsibilities. Ease of handover or onboarding.
Employment is Subject to the Provision of the Following:
- National Police Clearance (no more than three months old)
- NT Working with Children (OCHRE) Card
- Current Drivers Licence
Essential Criteria:
- Demonstrated experience in general administration reporting and document management within a similar environment.
- Understanding of compliance requirements within community or social services organisations with experience supporting administrative adherence to best practices.
- Proven ability to develop and document procedures that enhance efficiency and maintain compliance.
- Strong time management skills with the ability to manage multiple priorities and meet deadlines.
- Self-motivated with the ability to work both independently and within a collaborative team environment.
- Excellent interpersonal skills and the ability to engage confidentially and professionally with a wide range of stakeholders.
- High-level verbal written and digital communication skills.
- Experience working in a culturally diverse workplace demonstrating empathy and inclusivity in service delivery.
- Proficiency in Microsoft Office and the ability to learn digital tools such as SharePoint.
Highly Desirable:
- Qualification in Business Administration or a related field.
- Previous experience in a not-for-profit social services or employment-focused organisation.
