Remote Operations Coordinator / Administrative Assistant
Location: Remote (Philippines LATAM South Africa)
Salary: $1500- $2200 p/month Based on Experience
Hours: Monday to Friday 12:30 PM (Afternoon) to 9:30 PM Eastern Time (with some flexibility for international candidates)

Job Overview
We are hiring a detail-oriented and proactive Remote Operations Coordinator / Administrative Assistant to manage the day-to-day scheduling client communication payments and event coordination for our studio. This role is ideal for someone with excellent organizational skills a sharp eye for detail and a passion for customer service. The role also involves light graphic design and special project coordination making it perfect for someone who enjoys variety and autonomy in their work.
Key Responsibilities
- Manage and coordinate 190 weekly dance lessons using Voting Reign software
- Handle inbound client communications including scheduling rescheduling and inquiries
- Process and track payments via Square and maintain accounts receivable
- Support studio events through guest list management marketing coordination and logistical planning
- Enter and update client and lesson data from HubSpot into scheduling software
- Create marketing assets and event graphics using Canva
- Respond to a high volume of daily emails and texts (approx. 30
- Cross-check scheduling software with physical lesson blocks to ensure accuracy
- Document and refine internal processes to improve efficiency
- Assist with ad hoc administrative duties and provide support to the studio owner and instructors
Requirements
- 2 years of experience in administration customer service or operations
- Exceptional written and verbal communication skills
- Highly organized with excellent time management and multitasking abilities
- Proficiency in Google Suite (Drive Gmail Voice) Canva HubSpot and Square
- Comfortable working in a fast-paced remote environment
- Strong problem-solving and critical thinking skills
- Experience with CRM or scheduling software (Voting Reign preferred but not required)
