This is a hybrid role requiring onsite work in our SODO office three days per week Tuesday through Thursday.
The Payroll and Benefits Accountant is responsible for administering accurate and timely payroll processing ensuring compliance with federal state and local tax regulations and maintaining general ledger accuracy in accordance with US GAAP. This role serves as a key liaison between the Finance and Human Resources teams supporting payroll timekeeping benefits administration and employee data integrity. Additionally this position contributes to broader finance functions including account reconciliations audits tax filings process improvements and other tasks as assigned.
Duties and Responsibilities
Payroll Administration
- Process biweekly payroll in compliance with applicable federal state and local regulations.
- Calculate wages overtime and applicable deductions; ensure proper documentation and system integrity.
- Perform payroll audits each cycle; identify and correct discrepancies to maintain accurate records.
- Resolve payroll-related inquiries in a timely and professional manner.
- Prepare and file required monthly quarterly and annual payroll reports (e.g. IRS state agencies).
- Generate payroll-related reports for Finance and leadership to support forecasting and budgeting.
US Tax Compliance
- Ensure accurate state and local tax setup in the payroll system including multistate jurisdiction rules for remote and hybrid employees.
- Monitor and implement tax rate and regulatory changes across all applicable jurisdictions.
- Manage payroll tax registrations and oversee compliance with state and local tax authority requirements.
- Lead efforts related to payroll tax audits ensuring timely documentation resolution of discrepancies and mitigation of future risk.
- Collaborate with HR and Legal to ensure accurate worker classification and adherence to multistate employment tax laws.
Benefits Accounting
- Reconcile and process benefit-related transactions including health dental life other insurance premiums garnishments and other deductions as required.
- Collaborate with HR to administer 401(k) plans including tracking contributions loans and reconciliations.
- Ensure timely payment and accurate recording of all benefit-related liabilities.
General Accounting (US GAAP)
- Prepare payroll journal entries and maintain accurate records for financial reporting.
- Support monthly and quarterly close processes by reconciling payroll and benefits accounts.
- Assist with financial audits internal controls and special projects as assigned.
- Contribute to process improvement initiatives to streamline payroll and accounting operations.
Cross Functional Collaboration
- Partner with HR on payroll setup benefits updates and employee data management.
- Support internal inquiries and cross-departmental initiatives with a customer service mindset.
- Uphold confidentiality and data security standards when handling sensitive employee information.
Key Skills and Competencies
- Technical Expertise: Strong understanding of payroll processing benefits accounting and payroll tax compliance.
- Technology Proficiency: Advanced Excel skills and experience with ERP/accounting systems.
- Analytical Thinking: Ability to identify discrepancies reconcile accounts and ensure accuracy.

Qualifications :
- Bachelors degree required - Accounting Finance or related field preferred.
- Minimum of 45 years of progressive payroll and benefits experience; 23 years in general accounting.
- Solid understanding of US GAAP and payroll tax regulations at federal state and local levels.
- Demonstrated experience with payroll systems such as ADP Paychex Paylocity or Workday.
- Experience with benefits administration including health insurance retirement plans and reimbursements.
- Previous experience in a professional services or consulting firm is highly desirable.

The final base salary offered is dependent on factors such as relevant experience skills qualifications and location.
