About the position

The La Trobe Rural Health School (LRHS) is the largest rural health school in Australia. This position is an integral part of the Universitys Global Health and Equity Development Hub and this teams current NHMRC Investigator Grant titled Scaling up health literacy development for the prevention and control of noncommunicable diseases (NCDs) located in the Violet Vines Marshman Centre for Rural Health Research (VVMCRHR) within the La Trobe Rural Health School (LRHS).

The Director of the Global Health and Equity Development team Hub Distinguished Professor Richard Osborne undertakes research and large-scale translation activities in Australia and internationally. The work directly improves health and equity for individuals and communities and positively influences health systems and policy.

The Senior Administration Officer will work closely with Distinguished Professor Osborne to operationalise the Hubs local and global health and development mission. Activities include in depth health literacy development across all levels of society including with communities that experience profound disadvantage and marginalisation. The role therefore includes authentic cultural inclusiveness implementation of communication plans and effective liaison with the VVMCRHR LRHS and the wider University.

Duties will involve planning implementation operational liaison budget management preparation of reports and coordination of international travel. It also requires proactive communications and marketing activities to promote the teams impact. Crucial to this role is external and international partner engagement including with stakeholders such as United Nations agencies governments NGOs institutes industry and other researchers.

Five specific duties and accountabilities for this position

1. Provide substantive technical and operational support to the Hubs research and development mission

a. Manage travel and communications (incl. email calendar and online face to face and hybrid meetings) for the Hub Director Distinguished Professor Osborne.

b. Support the planning and documentation of the Hubs research and executive meetings

c. Provide support for financial planning budgeting and invoicing

2. Provide administrative support for resource mobilization

a. Support and coordinate submissions to research funding bodies

b. Manage internal and external stakeholders including the LTU Research Grant Development and Transformation Research Office for timely submission of compliant applications

3. Undertake knowledge management and translation

a. Manage the Hubs existing and emerging Intellectual Property (IP) including licensing invoicing monitoring and reporting reach and impact

b. Collate and manage the Hubs existing and emerging knowledge products including reports academic papers presentations announcements and media engagements

c. Manage the Hubs capacity development events such as the Optimise Health Literacy and Access (Ophelia) process masterclasses

4. Support the implementation of a responsive communications strategy

a. In partnership with the Hubs staff and the LRHS media and communications team implement and monitor impact of the Hubs communications strategy including through the Hubs website seminars community of practices newsletters social media (incl. LinkedIn) and public announcements

5. Identify manage and nurture stakeholders

a. Implement the Hubs stakeholder management strategy to optimise the Hubs profile reach and impact including with internal (Hub VVMCRHR SRH LTU) and external (local state national international and United Nations) agencies

b. Coordinate the reporting of the Hubs scientific health social and economic impacts in formats suitable for key stakeholders

Skills and Experience

Skills and knowledge required for the position

  • A degree with subsequent relevant experience to consolidate the theories and principles learned or extensive experience leading to either the development of specialist expertise or to the development of broad knowledge in an administrative field or an equivalent alternate combination of relevant knowledge training and/or experience.

Essential skills and knowledge

  • Demonstrated capacity to organise work effectively and efficiently and deliver outputs in a timely manner.
  • Demonstrated ability to work independently follow established procedures with limited supervision and contribute positively to an effective team.
  • High level proficiency in computer software packages including word processing spreadsheets databases electronic mail and the use of the internet as a research tool.
  • Excellent communication and interpersonal skills with a demonstrated customer service focus and solution orientated approach.
