JOB SUMMARY

Provides assistance to Financial Accounting and Benefits Office Administration and the Financial Accounting & Benefits Department as a whole to ensure sound financial management of all school activity funds with the district selected School Activity Funds Software. The School Activity Funds Budget Analyst monitors the daily accounting operations of the school activity functions including the budgets and compliance issues. The Analysts acts as a key resource for all bookkeepers activity sponsors and school administration ensuring compliance with district policies and regulations while facilitating the financial processes. The School Activity Funds Analyst also performs specialized administrative support duties for designated Financial Accounting and Benefits Administration as needed.

ESSENTIAL JOB FUNCTIONS

  • Responsible for assisting with maintaining School Activity Funds within district approved School Financial Management/School Cash.
  • Responsible for preparing monthly reports tentative and working budget agenda items for presentation to the FCPS Board on the status of the school activity funds highlighting variances and identifying issues.
  • Responsible for managing the end-to-end process for all school activity fund requests including verification budget alignment Board approval requests and School Financial Management/School Cash processing.
  • Assists in monitoring and tracking the operations of the School Activity Funds at all elementary middle and high schools.
  • Assists in reviewing analyzing and evaluating the School Activity Funds budget process assuring compliance with generally accepted accounting principles standards and procedures and the Redbook policies and procedures including 1099 preparation and review for tax submission.
  • Utilizes financial software and school district system to produce multiple technical reports.
  • Assists school staff with questions and concerns related to their Student Activity Funds.
  • Maintains the School Activity Funds budget files and procedures as it relates to the Redbook policies and procedures and the Board policies.
  • Assists in managing the ongoing budget process through the compilation analysis and monitoring of School Activity Fund budgets.
  • Responds to requests for information from staff regarding District policies procedures and regulations relating to the School Activity Funds.
  • Schedules and coordinates District-wide annual school audits in collaboration with the Associate Director of Finance.
  • Responsible for creating updating and revising school accounting instructions manuals and procedures for schools and district-wide offices to enhance efficiency.
  • Conducts follow-up school reviews and visits related to the school audit findings to assess compliance with the audit firms recommendations and corrective action plans.
  • Responsible for providing guidance and training to bookkeepers principals school staff and other relevant personnel on proper procedures for managing School Activity Funds.
  • Demonstrates the ability to communicate in more than one language or the willingness to learn to communicate in more than one language at the novice level of proficiency.
  • Performs other duties as assigned.

KNOWLEDGE AND ABILITIES

KNOWLEDGE OF:

  • Generally accepted budgeting accounting and auditing principles computerized accounts reports standards and procedures.
  • Accounting and fiscal systems policies procedures and practices.
  • District accounting and fiscal systems policies procedures and practices.
  • Modern office practices procedures and equipment.
  • Record-keeping techniques.
  • District organization operations policies and objectives.
  • Applicable sections of Kentucky Administrative Regulations and other applicable laws.
  • Technical aspects of budgeting.
  • Familiarity with basic computer systems and the ability to utilize various software efficiently.
  • Experience with ERP software.

  • Perform technical accounting work involved in the audit of financial and statistical records.
  • Analyze and resolve problems and draw accurate conclusions.
  • Maintain records; prepare clear and concise financial and accounting analysis reports.

QUALIFICATIONS

Education and Experience:

  • High school diploma or G.E.D. Certificate
  • College level course work in accounting finance or business administration preferred. Three (3) years of increasingly responsible professional accounting experience.

Must take the required clerical assessments and earn a passing score

PHYSICAL DEMANDS

  • Work is performed while standing sitting and/or walking.
