This 50% University Staff position responsible for providing administrative support to the CU Denver Faculty Assembly (FA) and the CU Denver Association of Lecturers and Instructors (UCDALI). The candidate must possess strong project management communications website management and event planning skills along with effective analysis and problem-solving abilities. The role also demands the ability to multitask under pressure handling complex and concurrent tasks and meeting deadlines. The ideal candidate must demonstrate an interest in and basic knowledge of the needs of diverse faculty as well as some familiarity with major current issues in higher education.
Administrative Coordinator:
What you will do:
Meeting and Website Support
Coordinate and serve as the primary point of contact for the Denver Faculty Assembly and UCDALI.
Plan and manage meetings including scheduling securing meeting space arranging for food delivery and supporting faculty requests for meeting accommodations (e.g. remote access dietary restrictions etc.).
Maintain accurate membership lists updating addresses emails and affiliations as needed.
Facilitate the distribution and tracking of policies for review between the two faculty shared governance groups their committees and the administration.
Prepare and organize meeting materials and ensure their timely dissemination.
Arrange for guest speakers to attend FA and UCDALI meetings.
Develop and maintain websites updating content and formatting as necessary to post agendas minutes meeting times and locations special events and other information.
Coordinate the development and distribution of newsletters.
Maintain faculty email lists relevant to FA and UCDALI constituencies and assist with email communications.
Procurement and Budget
Manage general office administration and operations.
Process expense reports for procurement card office purchases and travel expenses.
Process invoices official function forms reimbursements to individuals and purchase requisitions.
Responsible for budget management reconciling accounts monthly to ensure accurate and appropriate spending.
Monitor the budgets of FA and UCDALI and provide summary reports to the FA Chair and UCDALI President.
Support FA Chair and UCDALI President in the drafting of annual budget requests for submission to the administration.
Order process and approve requests for office supplies applications equipment orders and equipment maintenance.
Other Responsibilities:
Help with the projects assigned by the FA Chair and UCDALI President.
Qualifications you already possess (Minimum Qualifications)
Applicants must meet minimum qualifications at the time of hire.
Bachelors degree from an accredited college or university.
One (1) year of experience in business administration payroll or other related fields.
Preferred Qualification to possess (Preferred Qualifications)
Proficiency in Microsoft Outlook Word Excel Power Point Teams and Publisher.
Professional experience in a higher education setting.
Three years of experience in an administrative marketing/communication or project management role.
Experience with procurement reimbursements and/or processing expense reports.
Experience in Concur and Sitefinity.
Knowledge Skills and Abilities
Strong attention to detail.
Strong communication skills and the ability to work effectively with a diverse audience.
Strong organizational skills.
Ability to prioritize work and manage time effectively.
Ability to work with limited supervision.
Ability to follow through and meet established deadlines.
Effective written and verbal communication skills to interact with all levels of faculty administration staff and students.
Ability to manage complex sensitive and confidential information.
Knowledge of university policies and procedures and ability to apply them.
Ability to collaborate with other department staff to promote a productive work environment.

Compensation and Benefits
The salary range (or hiring range) for this position has been established at $32000 $34000.
The salary of the finalist(s) selected for this role will be set based on a variety of factors including but not limited to internal equity experience education specialty and training.
The above salary range (or hiring range) represents the Universitys good faith and reasonable estimate of the range of possible compensation at the time of posting.
This position is not eligible for overtime compensation.
