Job Description

Pay Grade/Pay Range:Minimum: $18.32 Midpoint: $21.97 (Hourly N4)

Department/Organization:212901 Music Education

Normal Work Schedule:Monday Friday 8:00am to 4:45pm

Job Summary:The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls emails and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles PCard/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers copiers fax machines etc.

Additional Department Summary:Assists the department head and faculty in the daytoday operations of the department of Music Education in the College of Education. Procures supplies and promotional items and at times picks up supplies from local vendors. Assists in the logistics of on campus events for the faculty of the department. Manages schedules for graduate assistant and student workers. Handles the budgets for the department and oversees the graduate assistant and adjunct hiring.

Required Minimum Qualifications:High school diploma or GED and two (2) years of administrative experience; OR associates degree or higher.

Skills and Knowledge:Knowledge of UA licensing approval procedures procurement through BuyBama and procedures to make purchases through outside vendors. Knowledge of Pcard travel and nontravel purchases and reconciliation through Concur. Personable and able to effectively communicate with people across departments and areas students and parents of matriculates.

Preferred Qualifications:Experience with a host of office software including Excel.
