Job Description

This is a remote position.

Schedule:

  • 20 hours per week
  • Monday to Friday flexible between 8AM to 4PM Aldinga BeachSA
About Us:
We are a busy and growing construction company delivering high-quality residential projects across South Australia. We re seeking a highly capable and detail-oriented Admin Assistant with direct experience in construction administration to support our operations behind the scenes. You ll be working closely with the builder and office team to keep projects running smoothly.

Key Responsibilities:

  • Project scheduling and coordination using Wunderbuild (must have)
  • Daily use of Google Workspace (Gmail Calendar Sheets Docs Drive) for file management document creation and collaboration
  • Prepare and manage finishes schedules ensuring selections are updated and accurately reflected in documents
  • Assist with ordering materials from suppliers tracking deliveries and managing lead times
  • Monitor and track project costs variations and updates in real-time
  • Assist in invoice creation tracking and reconciliation (basic understanding of invoicing software preferred)
  • Maintain and update project timelines and support communication between trades suppliers and clients
  • General admin support including email management digital filing and task follow-ups

Ideal Candidate Has:

  • Proven experience with Wunderbuild or similar construction/project management platforms
  • Strong proficiency with Google Workspace tools
  • Prior experience working with a construction building or trades business
  • Deep understanding of project workflows in residential construction
  • Familiarity with finishes schedules materials ordering and supplier management
  • Highly organised proactive and capable of managing multiple deadlines
  • Great communication skills both written and verbal
  • Strong attention to detail with the ability to work independently and manage time efficiently

Bonus Skills (Highly Regarded):

  • Experience using Xero MYOB or other invoicing/accounting platforms
  • Understanding of HBCF insurance requirements and residential construction compliance
  • Experience creating templates or processes that streamline admin workflows
