TRUST INTEGRITY RESPECT COLLABORATION CARING FINANCIAL STABILITY

LAWRENCEBURG ADMINISTRATIVE ASSISTANT

CLASSIFICATION: Hourly/NonExempt

JOB CATEGORY: Regular FullTime

DEPARTMENT: Lawrenceburg Administration

BASIC FUNCTION:

Support Algoods Core Values by incorporating them in daily thoughts and actions

Performs a wide variety of daily office functions which include answering and transferring calls greeting visitors maintaining visitor log entering and receiving purchase orders receiving and properly distributing packages and mail and other assigned responsibilities as described below.

ORGANIZATIONAL RELATIONSHIPS

Lawrenceburg Plant Manager

Supervises:

This position does not have supervisory responsibilities

SPECIFIC DUTIES AND RESPONSIBILITIES

* denotes an essential function of the job

  1. * Screen and direct incoming calls and assist guests who have not used LobbyGuard
  2. * Maintain LobbyGuard software hardware and visitor log files
  3. * Greet visitors contractors and vendors in a professional manner; ensure they followHACCP and GMP rules and direct them to the correct destination
  4. *Transcribe and distribute messages and information to staff
  5. *Prepare/Sort/Distribute outgoing and incoming mail and all UPS/FEDEX deliveries
  6. *Basic upkeep of office machines and inventory levels of office products
  7. *Create D365 Purchase Orders for approved staff upon request
  8. *Answer Accounting Department questions regarding receipts and invoices
  9. *Create/maintain file folders for organization of vendor and contractor accounts
  10. *Electronic filing in Shipping/Receiving folders on public logistics drive
  11. *Maintain Cintas First Aid cabinet inventory
  12. *Maintain the Companys communication board PowerPoint Presentation
  13. *Maintain Vestis employee uniform orders issues and weekly requirements
  14. *Maintain PPE Inventory and reorder or notify Safety Team when necessary
  15. *Assist with Fruit Logistics & carrier correspondence
  16. *Assist with written work instructions and communications throughout the facility
  17. *Inperson daily attendance at the work facilitys location is an essential function of the position
  18. *Perform other duties as assigned by supervision.

MENTAL AND PHYSICAL REQUIREMENTS

  1. Must be able to see hear and speak clearly in the English language.
  2. Ability to maintain considerable concentration with frequent time pressures and interruptions.
  3. Ability to maintain visual and audible attention for extended periods of time.
  4. Must be detail oriented and well organized.
  5. Ability to process work with accuracy.
  6. Ability to sit for extended periods of time.
  7. Ability to occasionally stand for extended periods of time.
  8. Ability to occasionally lift or carry minimal weights up to 25 pounds.
  9. Ability to occasionally reach squat kneel push or pull.
  10. Ability to manipulate necessary office equipment computer software hardware and equipment.

WORKING ENVIRONMENT AND CONDITIONS

This position requires working in an internal environment that is climate controlled with low noise.

  2. Computers phones copiers and printers

EDUCATION EXPERIENCE AND TRAINING

  1. High School Diploma
  2. AssociateDegree in Business preferred or at least three years of experience in an office environment
  3. Familiarity with a variety of office machines and a virtual software environment
  4. Proficiency in Microsoft Outlook Word Excel and PowerPoint is a required skill set for this position. The proficiency requirement includes an understanding of the functions and elements of these applications including the ability to compile proofread edit format sort analyze share save and professionally display data and information.
  5. Familiarity with Microsoft D365 and/or other ERP platforms preferred.
