Administrative Assistant
Location: Orono ME

The Snell Group is seeking a highly organized and proactive Administrative Assistant to support our training operations in a dynamic fastpaced environment. This role is integral to the success of our training programs helping ensure smooth coordination and logistics for classes conducted across the U.S. and internationally. The ideal candidate will be detailoriented a strong communicator and able to manage multiple priorities efficiently while maintaining a high level of professionalism.

Key Responsibilities

  • Coordinate the preparation and shipment of classroom materials including training manuals and equipment to various training sites both domestically and internationally.
  • Manage return shipments or facilitate the forwarding of classroom equipment to subsequent training locations as needed.
  • Provide administrative support for multiple concurrent training classes serving up to 20 students and 14 instructors per session.
  • Read interpret and process customer purchase orders accurately.
  • Serve as a liaison between customers and internal teams using email Microsoft Teams and other communication platforms.
  • Perform data entry tasks such as registering students recording grades and generating training certificates.
  • Maintain and organize digital and physical files including scanning documents archiving folders and preparing shipping documentation for domestic and international use.
  • Other duties as assigned by management.

Qualifications

Qualifications

  • High school diploma or equivalent required; additional coursework or certifications in office administration or logistics a plus.
  • 2 years of experience in administrative logistics or customer service role.
  • Proficient in Microsoft Office Suite especially Word and Excel; familiarity with database systems and fast accurate typing (40 WPM preferred).
  • Demonstrated ability to work independently in a small office environment with minimal supervision.
  • Strong organizational skills and ability to manage competing priorities with a high degree of accuracy.
  • Exceptional attention to detail and a proven track record of maintaining accuracy while multitasking.
  • Strong written and verbal communication skills with experience interacting professionally with clients at various levels.
  • Comfortable learning new systems and processes quickly; adaptable in dynamic environments.
  • Familiarity with basic office equipment including printers scanners and fax machines.
  • Physically able to pack lift and move training materials including smalltomedium shipping boxes and large Pelican cases (up to 50 lbs).

  • Excellent communication skills written and verbal.
  • Applicants must pass a drug screen and have a valid drivers license with a clean driving record.
