Description

The Advancement Coordinator is a support member of the University Advancement staff reporting to the Director of Alumni Engagement. The Advancement Coordinator also provides administrative and clerical support to the Director of Annual Giving and the Director of Advancement Information Services as well as occasional support for Development and Alumni Engagement Officers.

The coordinator is responsible for the support work of activities related to initiating organizing implementing and coordinating alumni programs and events of the University. It is expected that the work reflects the goals of Loyola University and be of service to its constituents. Enthusiastic attitude efficiency responsibility professional decorum knowledge of resources and office processes excellent customer service and attention to detail are critical to this position.

Examples of Duties

  • Provides clerical secretarial database/spreadsheet Raisers Edge and event support to staff members in the Office of University Advancement.
  • Provide onsite support for some events and programs held both on and off campus. Some weekend and evening work is expected.
    1. Responsible for updating alumni records in RE7 database running event attendee reports and mailing lists.
    2. Process event registrations for Alumni Association and Advancement events.
    3. Receive record and deposit monies received for events coordinated through the office.
  • Assists with periodic large mailings to alumni.
  • The Advancement Coordinator will act as a receptionist for all incoming phone calls for the Office of Alumni Engagement to the direct phone line as well as the 1800 tollfree phone line.
  • Draft proofread and edit correspondence on behalf of various staff members in University Advancement.
  • Coordinate arrangements for all alumni board meetings including the mailing of notices followup phone calls preparation of board meeting materials equipment and room reservations and food service.
  • Daily essential functions include creating appropriate correspondence related to milestone events and monitoring and maintaining the email account.

Additional Responsibilities: Other duties as assigned by the Director of Alumni Engagement.

That report includes current policies and procedures of the University Police Department for the reporting of campus crimes notifying the campus community of occurrence of campus crimes policies regarding access to campus buildings the enforcement authority of the University Police Officers and their relationship to local police. University policies on the possession use and sale of alcohol and illegal drugs are outlined. The Campus sexual Assault Program and policy is described. Campus crime statistics as defined under this law for the last three calendar years are included. A copy of this report may be secured from the (Office of Admissions) (Office of Human Resources) or from the University Police Department.
