Job Description

Reports directly to Operations Manager

1.            First Escalations: Operations Manager

2.            Second Escalations: Distribution Manager

3.            Third Escalation: Branch Manager

Scope of Position: 

Supervises and coordinates activities of workers concerned with providing work orders & inventory records for distribution accounts.

Responsibilities:           

Health and Safety Security:

Maintains a clean neat and orderly work warehouse/operation. Assists in maintaining warehouse/operation security as per Expeditors requirements. Conducts operations that promote safety and follow OSHA and other appropriate standards. Must plan and construct while maintaining a workplace environment to protect any person from danger. The distribution supervisor assures the warehouse/department leads without exception and meet the following tasks:

Daily Huddles at the start of the shift All meetings must be documented and signed by the participating employees.

Warehouse appearance The Lead must constantly walk the facility and report any possible hazards in the building.

Forklift Checklist: Lead is responsible and assures all Forklifts are inspected daily at the beginning of their shift.  If any hazards are found in the forklift(s) the unit(s) must be tagged and reported for service immediately.

Dispatched SOP Lead is responsible for understanding and always enforcing the Shipping Receiving Dispatching SOP REV 1.0

Dress Code: Lead is responsible for ensuring that everyone in the warehouse follows company policy. All employees need to use steeltoe shoes and wear a vest while working in the warehouse.

Incident Reporting All hazards or security Incidents must be reported through the Expeditors Health and Safety web portal. All reports must be submitted on the same day the incident occurred.

Operations:

Availability needed 24/7 Operations Supervisor needs to be able to respond to any critical situation emergency or safetyrelated incident for the Distribution Center

Able to communicate in English and Spanish.

Operations Supervisor is the direct report responsible for making sure all Inbound and Outbound activities are processed efficiently and meeting Customer SLAs and commitments. Adjustments in the process need to be implemented as soon as possible to ensure Compliance with all Rules and Regulations while providing great Customer Service.

Basic knowledge of the FTZ environment while maintaining close communication with the FTZ and Brokerage teams

Assigns duties and examines work for exactness neatness and conformance to policies and procedures

Strong Inventory experience and familiarity of all Inventory procedures. A Distribution Supervisor needs to be able to maintain a healthy Inventory based on consistency in cycle counts.

Able to research and identify liability for any claims for damages submitted by our Customers.  Periodically audit and verify processes modify as needed to ensure all processes are compliant with Customs and with Customer requirements

Availability to support other locations and work under stressful situations transitions and implementation of systems and procedures.

Labor Management:

Supervises CSRs and coordinates daily workflow.  Responsible for all new accounts gathering all necessary information while assigning the accounts to the CSRs.  Audits all new accounts and follows up on CSRs responsibilities to ensure that customer needs have been met. Issues written and oral instructions. Assigns duties and examines work for exactness neatness and conformance with policies and procedures.

Maintains a productive staff by creating hiring programs that include training and professional development. Applies sound communication and motivational techniques in supervising coaching and disciplining associates. Manages associate performance and recommends promotions wage increases and terminations.  Is responsible for planning staff management which includes both warehouse and office personnel.   Determines work procedures prepares work schedules and expedites workflow.

Create and maintain a structure at all levels. Work closely on the training and development of the warehouse and office Leads by providing empowerment and mentorship daily.

Management of employee performance promotions wage increases and terminations.

Schedule and present quarterly oneonones with all direct reports and a yearly performance evaluation to all employees. Need to record on PDC as per corporate requirements

Customer Service:

Makes introductory contact with new accounts and maintain effective relationships with existing accounts.  Addresses the more complex and nonroutine customer issues and requests. Coordinates new accounts gathering all necessary information and assigning accounts to Customer Service Representatives (CSRs). Audits all new accounts and follows up on the responsibilities of the CSRs to ensure that the customers needs have been met.

Retention:

Assists in following up on current customers and conducting Quality Management Reviews (QMRs).  Directs and controls the release of orders to shipping to ensure timely delivery to customers and meet company efficiency goals.  Direct and oversee order processing and ensure the data entries on documents such as Delivery Orders and inventory reports are accurate and timely.  Makes recommendations to the Operations Manager on programs to improve the operation of the customer service function.  Interacts with credit and collections personnel regarding payment problems. Reviews records/reports to determine reasons for discrepancies between inventory and stock control records and recommends remedial actions to resolve discrepancies.

Documentation / Reporting:

Maintains uptodate procedures manual. Tracks ontime delivery and other performance measures. Provides necessary reports to management. Gathers and analyzes data concerning department operations and customer requirements. Distributes reports to various functional areas as required. Makes recommendations to senior management on programs to improve the operation of the customer service function.

Relationships:

InternalSupport for sales staff by following up on possible sales leads must attend functions as a member of trade associations conduct tours of the warehouse make customer calls and forward information regarding requests by customers for service to the sales staff. Assist in executing the companys marketing plan. Interacts with other departmental management to achieve goals and attends warehouse planning meetings.

Budgeting:

Performs and supervises department accounting functions (i.e. Accounts Payable Accounts Receivable Customer Invoicing domestic freight rating etc.)

Management in volume fluctuations against headcount while maintaining a healthy LPN cost per location.

Equipment:

Develops procedures to ensure efficient operation and utilization of office equipment.  Determines and recommends enhancements for computer systems/telephone equipment to meet cost and service goals.

 


Qualifications :

  • Education (preferred level)  Bachelors Degree
  • Experience (minimum level of direct experience in a similar position)   1   year
  • Knowledge/ Skills: Requires good supervisory and communication skills. Familiarity with personal computers and material handling equipment is essential. Strong decisionmaking and coaching skills.
