We are looking for a versatile and detailoriented Office Administrator/Bookkeeper to lead and oversee daytoday operations and financial responsibilities in our Poland office. This is a dualrole combining administrative support with bookkeeping tasks ensuring smooth operations and compliance with local regulations. The ideal candidate will manage office logistics support our growing European team and maintain accurate financial records to help drive business success. Job Description
This position will give you the opportunity to:
Office Administration:
- Oversee daily office operations including facility management supplies procurement and vendor coordination
- Serve as primary contact for internal and external stakeholders
- Manage correspondence scheduling and documentation to ensure efficient workflows
- Support HR activities such as onboarding new employees maintaining personnel records and ensuring compliance with Polish labor laws
- Assist with coordination of nonPolish staff based in other EU countries.
- Organize and manage team events meetings and travel arrangements
Bookkeeping & Financial Management:
- Manage accounts payable and receivable ensuring timely processing and accuracy
- Handle payroll preparation and ensure compliance with Polish tax and labor regulations
- Prepare and file VAT CIT and other local tax returns as required
- Maintain accurate financial records including general ledger entries and reconciliations
- Assist in preparing financial reports and budgets for management review
- Coordinate with external auditors and tax authorities as needed
Qualifications & Requirements:
- Bachelors degree in Business Administration or related field preferred.
- 5 years of experience in office administration and/or bookkeeping
- Experience in multicurrency transactions (EU and North America).
- Skilled in bookkeeping software (e.g. SAP QuickBooks) and Microsoft Office Suite.
- Solid knowledge of Polish payroll systems labor laws and financial reporting.
- Understanding of IFRS and US GAAP standards.
- Proficient in handling intercompany transactions invoicing and tax filings.
- Comfortable working with external auditors and advisors.
- Fluent in Polish and English; additional languages are a plus.
