Job Description

JOB TITLE: Middle School Head Secretary

REPORTS TO: Building Principal

JOB SUMMARY: This position provides full spectrum administrative support to the school principal and staff including matters of a confidential nature handling daily work pressures requiring constant concentration to a volume of work which must be completed within a limited period of time and serves as the first point of contact at the assigned school for staff students parents and community members fielding inquiries and directing appropriately.

MINIMUM QUALIFICATIONS:

  1. High school diploma or equivalent.
  2. Two years of related clerical experience
  3. Criminal history clearance (background check and HB 2062).

PREFERRED QUALIFICATIONS:

  1. Spanish speaker.

SUMMARY OF ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Performs a wide variety of secretarial work including answering phones word processing filing and mail.
  2. Completes a high volume of computer data entry using District computer programs to input data with speed and accuracy including confidential data in an environment with constant interruptions.
  3. Researches creates inputs formats organizes and edits data as requested and prepares in a usable format.
  4. Independently answers routine questions and correspondence not requiring the supervisors attention.
  5. Maintains accurate student records including attendance records new/transfer student registrations student withdrawals behavior referrals immunization records and student grades.
  6. Compiles and prepares reports for administration or outside agencies as required.
  7. Schedules conferences and programs as required including creating schedules contacting all invited parties preparing confirmation and distributing materials to all parties (teachers specialists parents etc.).
  8. Assists in evaluating student injuries performs minor first aid and administers medications.
  9. Appropriately maintains and secures confidential records and inquiries.
  10. Professionally represents the school and District in interactions with parents community staff and students.

TERMS OF EMPLOYMENT: 207Day Contract at 1.0 FTE. Salary pending finalized OSEA negotiated agreement (2425 salary range is $20.50$23.64/hr). Excellent benefits including Medical Dental and Vision insurance and Oregon state retirement. Paid time off includes one sick day per month worked and three personal days prorated per school year. Benefit information can be found at Open until filled. Starts Fall 2025 pending board approval of thebudget.
