Job Description

Position Summary

The Coordinator Administrative Support Services is responsible for the overall coordination of the Administrative Support Services Team and Assistant to Leadership Staff.

Essential Functions

  1. Coordination: (40%) Provides highlevel administrative support to an assigned executive or directorlevel employee. Coordinates and schedules travel meetings and appointments for Leadership Team and Staff including registrations for conferences seminars and other events. Coordinate New Employee Orientations General Staff Meetings and Core Services Committee Meetings. Prepare meeting and event materials. Assist with State Leader Meetings. Assist the Health Specialist with webinars and meetings.
  2. Administrative: (30%) Collects requested data and information from various sources including email and other correspondence meeting minutes and records and other documents; prepares summaries of findings and/or other related written correspondence as requested. Maintain files (electronic and hard copy) for grants and contracts. Assist Executive Assistant as needed. (30%)
  3. Departmental: (25%) Direct the administrative functions of the Support Service Staff. Establish
    and maintain. Responds to and resolves administrative inquiries and questions. Answers phone calls assisting with answering general questions regarding PATNC; transfers phones calls screening when necessary. Participate
    in Staff Development events. Performs other general clerical and secretarial duties as requested which may include record keeping maintaining office supplies and coordinating equipment
    maintenance and handling packages and correspondence.
  4. Other duties as assigned (5%).
