POSITION SUMMARY

The Planning & Development Coordinator provides a high level of administrative business project daily operations support for the Planning & Development department. As the publics primary point of contact for the division the Planning & Development Coordinator will provide information and assistance on matters related to departmental activities and procedures with an emphasis on the areas of permits licenses and development / planning applications.

EDUCATION/EXPERIENCE

  • PostSecondary education with a Business Administration Diploma or Local Government Administration diploma preferred
  • Minimum five (5) years administration or department coordination experience required
  • Experience working with indigenous organizations/community considered and asset
  • Equivalent combination of education training and experience may be considered

REQUIREMENTS

  • Criminal Record Check with results acceptable to WFN
  • Maintains a high level of confidentiality and uses discretion on all matters relating to the affairs of Westbank First Nation.

JOB DUTIES/RESPONSIBILTIES

  • Provide effective and timely administrative support and project coordination support to the department including Planning Inspection Services and Lands
  • Schedules and organizes department meetings engagements and events for the department including securing dates booking venues ordering catering when required and printing materials
  • Ensures efficient and accurate routing of phone calls mail publications electronic communications (i.e. faxes email) and other correspondence and material throughout the Planning & Development Department
  • Liaises with staff outside agencies and customers in a professional and courteous manner
  • Receives processes and responds to public inquiries related to zoning and land use development related applications business license and building permit applications
  • Creates a variety of technical and professional letters memos reports and forms for various sources including confidential correspondence; updates and maintains various records filing systems and statistical data; logs and distributes departmental mail and drafts routine correspondence
  • Builds and maintains effective working relationships with all levels of the organization and with the public in order to provide exceptional customer service
  • Assists in tracking maintaining and reporting on department budgets
  • Provides project accounting and coordination for the department supporting in the delivery of operations and capital projects
  • Prepares periodic statistical reports related to department functionality including application tracking fees development cost charges and latecomer agreements
  • Schedules inspections and appointments for staff and expedites messages and inquiries to the appropriate staff
  • Assembles produces and distributes meeting agendas and minutes; creates action item lists and tracks follow up
  • Develops formats proofreads and distributes reports letters memos permits forms articles and other material
  • Manages the department file structures both hard copies and electronic and prepares files for longterm storage and retrieve files from offsite storage
  • Supports the staff in completing tender and contract documents or locating project specific vendors
  • Performs all duties and responsibilities in accordance with Westbank First Nation policies standards and procedures and as assigned by the Director of Planning & Development

KNOWLEDGE/SKILLS/ABILITIES

  • Welldeveloped strong customers service and interpersonal skills with proven ability to communicate effectively and professionally
  • Strong computer skills and knowledge of Microsoft Office (Excel Word Outlook PowerPoint etc.)
  • Proficient in Vadim and Laserfiche is an asset
  • Professional writing skills and a strong ability to take precise notes effectively summarize and format using established templates
  • Ability to read analyze and interpret Federal Provincial and WFN legislation and regulations as they apply to the Planning & Development Department
  • Knowledge of Planning Inspection Services Lands Engineering and/or Public Works department is an asset
  • Knowledge of Public Administration and structures of various levels of local government administration
  • Ability to multitask and prioritize workload
