Position #22265:Grants & Fiscal Secretary/Bilingual Preferred

Hours: 8 Hours per Day221 Days per Year

JOB DESCRIPTION

Under the supervision of the Director of Learning Supports and Programs the secretary is responsible for providing secretarial support and performing duties which require independent judgment strong interpersonal skills and knowledge of district state and federal policies and procedures. The individual must be detail oriented and display the ability to operate with minimum of supervision. The secretary in this position will be responsible for supportinga variety of federal and state programs and staff programs; accurately monitor personnel expenditures and program compliance; assist with collection tabulation and analysis of data as required for program accountability; prepare correspondence data collection forms and program reports; and perform other jobrelated duties as assigned in theLearning Supports & Programs Department.

CONDITIONS OF EMPLOYMENT

  1. High school diploma or equivalent education or experience.
  2. Must present transcripts of highest level of education within thirty 30 days of hire.
  3. Must be able to perform the essential functions of the position with or without reasonable accommodation.
  4. Must be able to meet the Physical Demands of the position.
  5. Must pass a basic skills test.
  6. Completion of Safe Schools Web Based Training within thirty 30 days of hire and yearly thereafter.
  7. Must pass a background check which includes employee paid fingerprinting.

QUALIFICATIONS REQUIRED

  1. Recommendations that confirm dependability flexibility loyalty and selfstarting capabilities.
  2. Must uphold board policies and follow administrative procedures.
  3. Must take all necessary and reasonable precautions to protect students equipment materials and facilities.
  4. Must attend inservice trainings or other meetings as required as well as attend any training as directed by management.
  5. Evidence of ability to assess and correct issues involving safety.
  6. Evidence of ability to establish and maintain a tactful cooperative and effective relationship with students parents staff fellow employees and management.
  7. Evidence of ability to approach assigned work in a professional manner working toward the common goal of teamwork pride in service delivery and continuous improvement.
  8. Must demonstrate sufficient command of the English language to communicate verbally and in writing with students parents district staff members and other concerned people regarding all aspects of their job related activities.
  9. Must be able to use basic computer programs to maintain records enter timecard information and read and respond to email.
  10. Evidence of ability to learn new software programs; Business software knowledge preferred.
  11. Previous experience and/or training operating general office equipment such as: computer copy machine 10 key adding machine and fax machine.
  12. Knowledge of computer programs such as Word Excel etc. Ability to function within various software programs.
  13. Strong verbal and written communication skills; working knowledge of correct grammar spelling and English usage.
  14. Must be willing to participate in district training as it becomes available for varied computer programs and other needs.

QUALIFICATIONS PREFERRED

  1. Associates degree (A.A. or equivalent from twoyear college or technical school.
  2. Bilingual and biliterate in Spanish and English

JOB RESPONSIBILITIES

  1. Building and tracking proposals
  2. Purchasing including requisitions purchase orders invoices and reconciling credit card statements. Ordering supplies as needed.
  3. Manage travel arrangements travel request forms and reimbursements for Federally Funded programs.
  4. Compliance including tracking receipts travel requests and reimbursements sign in sheets agendas and flyers
  5. Staffing including tracking changes within Business Plus and updating department staffing sheets to match
  6. Process extra pay accurately and in a timely manner
  7. Assist with Time and Effort tracking and reporting answer questions and provide training as needed
  8. Reconcile department PCards on a monthly basis and track expenditures in ledger
  9. Update grant funds sheets and ledgers to reflect current expenditures
  10. Track LAP coding to accuracy of reports including the LAP end of year report.
  11. Maintain confidentiality and practice discretion regarding students parents and staff.
  12. Work accurately and independently to set up budget notebooks and ledgers (using Google Sheets) to record expenditures.
  13. Prioritize tasks to meet proposal deadlines and support program needs.
  14. Establish an inviting and responsive office environment that supports the effective operation of Federal Programs.
  15. Communicate positively and effectively with parents staff administration and the community.
  16. Cover the front desk as needed
  17. Perform all duties of the position within the scope of Kennewick School District policies and procedures including regular attendance and punctuality.
  18. Perform other jobrelated duties as assigned.
