Job Description

The Office Coordinator is a publicfacing inperson position in the Victim Services Division (VSD).  Under the supervision of the Deputy Chief of Victim Services the Office Coordinator is primarily responsible for the intake guidance and coordination of resources for individuals seeking assistance. In addition the incumbent is responsible for ensuring high levels of organizational effectiveness in order to successfully manage the daytoday operations of the division. The position is multifaceted with unique responsibilities that are instrumental in supporting the mission of the VSD.

Examples of duties include but are not limited to:

  • Oversee frontdesk responsibilities to include greeting individuals and assisting in acquainting them with a variety of ways that the Victim Services Division can assist them.
  • Support and oversee a high volume of case assignments and daily review of incoming police incident reports RECAPS APS Restitution 311 calls and SVU referrals for assignments to advocates.  Triages all victim case assignments and inquiries to VSD daily by coordinating with team leads and supervisors.
  • Covers the 350 Rhode Island Desk and coordinates inperson staffing for both Rhode Island and the Hall of Justice daily.  Manage front desk operations including responding to daily emails voicemails and walkins.
  • Maintain VSD SharePoint and OneDrive. 
  • Provide general administrative and victim advocacy support services to victims of crime and employees.
  • Maintain accurate records and organize office operations procedures and inventory.
  • Data entry into the case management system in eProsecutor.
  • Manage vouchers reimbursement requests or invoices as needed and reconcile accounts.
  • Direct supervision of Public Service Trainees training and mentorship specific to task and skill development and tracking progression. Lead biweekly unit meetings schedule biweekly shadowing of public Service Trainees and provide coaching.  Collaborates with supervisors to offer advocacy enrichment training for skill set growth. Participates in mentorship and training of public service advocate trainees as needed.
  • Successfully calendar and provide administrative support to Grants RFP and PMT reports. Participates in data collection of deliverables.
  • Contribute to strengthening external relationships with community and/or governmental partner agencies by organizing tracking and calendaring operational agreements (OAs) and memorandums of understanding (MOUs).
  • Leads and participates in staff and community training and/or presentations.
  • Engagement in VSD special projects and Teamwork; Participates in VSD special projects (wellness committee language capacity MVA Dog Program Internship Program).
  • Participates in the hiring process of new advocates.
  • Work directly under the supervision of the Chief and Deputy Chief of VSD to assist with grant management and deliverables.
  • Provides backup for other Team Leads as needed.
  • Additional tasks as assigned.

Qualifications :

Minimum Qualifications

Requires a minimum of 2 years of training education and/or experience in social welfare behavioral science criminology psychology or a closely related field and responsible social service criminal justice or advocacy experience.

Desired Qualifications

Ability to maintain highly confidential and timesensitive information. Proven to have excellent communication skills. Strong written communication skills for data entry purposes. Experience with Uvisas and knowledge of the criminal justice system. Bilingual in Spanish desired.

Demonstrates respectful clear and concise communication. Ability to work collaboratively and be a supportive team player.  Ability to make independent and informed decisions. Expertise in Microsoft Office Suite and Outlook.

Salary Range commensurate with experience: $92508 $112424 annually
