Position Summary:

Do you love meeting people and immediately putting them at ease Do you enjoy welcoming individuals into new environments Our Cleveland office has an amazing opportunity for a Receptionist/Hospitality Assistant who is looking to be the face of Benesch. This role is perfect for the individual who has experience in reception and/or hospitality and is looking to be the point person for all guests and employees. The position also works with the Hospitality and Events Manager to make sure all events run smoothly to ensure the best engagement for all guests.

The Receptionist/Hospitality Assistant ensures that our Cleveland office runs smoothly efficiently and up to Benesch standards. This role provides an exceptional experience for anyone coming through the doors whether that is visitors clients or employees. This role is the heartbeat of a wellfunctioning office where adaptability attention to detail and a strong serviceoriented approach are essential.

POSITION RESPONSIBILITIES

  1. Enters all upcoming visitors into the buildings security/registration system.
  2. Resolves any matters with the building pertaining to unscheduled visitors dock access issues or sending a visitor up to the Benesch floors.
  3. Greets and welcomes all guests and directs them to the lounge desired conference room or office.
  4. Manages visitor parking validation vouchers and tracks accordingly.
  5. Answers and directs all incoming calls to the appropriate party.
  6. Serves as a backup resource for Firm employees with scheduling the 49th floor conference rooms and guest office scheduling via the AskCody system.
  7. Ensures cleanliness and orderliness in the reception lobby and lounge areas.
  8. Manages the Cleveland Reception email address and responds timely to electronic communication (e.g. Outlook).
  9. Enters building work orders in the building portal and communicates service needs to appropriate personnel.
  10. Communicates and interacts appropriately with internal and external clients to deliver a high level of customer service consistent with the Firms First in Service philosophy.
  11. Maintains confidentiality of Firm and clientrelated materials.
  12. Coordinates with building security for delivery access and dock usage.

Offers assistance on the administrative components of Firm event planning which includes but is not limited to: calling vendors for availability assisting host(s) with seating arrangements and any scheduling.

QUALIFICATIONS

The Receptionist/Hospitality Assistant must possess excellent communication skills both verbal and written as well as proven problemsolving skills. 35 years prior hospitality or reception experience is highly preferred preferably in a professional services or hospitality environment. An understanding of Microsoft Office (Excel Outlook PowerPoint Word) and PDF software is needed. Experience with Chrome River Expense Reporting Elite WebView Interaction Cisco Telephone System AskCody Meeting iManage and SharePoint is preferred but not required. Must be able to flex their schedule (with notice) in order to support the administrative needs of the office.
