About the Role: We are looking for a full-time Administrative Assistant to support our client service operations. Key areas of focus include handling client account applications preparing for and following up on client meetings managing service-related projects and creating internal process documentation
Key Responsibilities:
Client & Administrative Support Support client account applications with accuracy and timeliness. Prepare documentation and materials for client meetings and manage follow-up tasks. Coordinate team scheduling and maintain advisor calendars. Assist with internal and client-facing projects including SOP creation and updates. Deliver concierge-level service to top-tier clients via professional phone and written communication. Maintain organized and compliant client records profiles (Redtail) and service workflows. Manage client onboarding appreciation efforts and engagement events: Send event/webinar invitations Support day-of event logistics Collect and act on client feedback
General Office Operations Log incoming client checks. Manage mail and packages (USPS UPS). Coordinate external vendors and service providers. Learn and support Schwab workflows (paperwork funds movement DocuSign). Develop document and optimize office systems and procedures. Implement feedback to enhance internal workflows and client experience.
Only when required or as backup on the following tasks: Communication Management Phone Support Answer and route incoming calls; log all interactions in Redtail. Maintain and train team on phone scripts. Coordinate and resolve GoTo phone system issues. Prepare and send client celebration cards for birthdays and special occasions. Maintain and update email lists in Redtail and Outlook (additions deletions updates). Segment and manage client email groups Scheduling & Calendar Management Schedule all client appointments. Manage calendars for advisors team events and office-wide availability. Coordinate and communicate team schedules meetings and availability. Act as the primary contact for resolving scheduling and office coordination issues. Review and triage appointments using Redtail and the client service spreadsheet. Make reminder calls and send texts to clients. Oversee appointment confirmations agendas and planning data requests. Update Meeting Process documentation as needed.
Qualifications: 2 - 3 years of experience as an Administrative Assistant Strong communication skills (both verbal and written) in English. Exceptional attention to detail and ability to multitask. Experience in creating and updating SOPs Proactive assertive and capable of working independently with minimal supervision. Familiarity with CRM systems and digital communication platforms. Experience in administrative support roles preferably in client-focused industries. Demonstrates a high degree of professionalism organization and reliability. A growth mindset with the willingness to take on new challenges and build new systems.
