Student Athlete Certification Coordinato
This position has an opportunity to directly impact the success of Michigan State University and its athletic programs and studentathletes. This position monitors the academic eligibility of 600 intercollegiate studentathletes and coordinates the NCAA and Big Ten certification process with the Office of Athletic Compliance Services (OCS) and StudentAthlete Support Services (SASS) Associate Deans and/or Academic Advisors and other offices as appropriate. This position is responsible for completing the annual Academic Progress (APR) and Graduation Success Rate (GSR) reports for NCAA athletic eligibility.
Certifying officials certify studentathletes for eligibility to officially practice compete and receive athletic scholarships in accordance with NCAA and Big Ten rules. Many different variables impact whether a studentathlete may represent MSU in competition. Certifying officials encounter various scenarios requiring significant decision making to understand the impact of these variables in this technical process.
All athletic certification activities are subject to audit by the NCAA State Auditors and Internal Auditors. Certifying officials have a responsibility to uphold the integrity of the academic record.
Reporting. Provide studentathlete reports and documentation as needed.
NCAA APR Annual Report. This annual report is completed by the Office of the Registrars Certifying Official along with assistance from OCS SASS and the Office of Financial Aid OFA. This function requires the extensive knowledge of the NCAA and Big Ten eligibility rules working with ACCESS reports EXCEL and the NCAA Portal. Accuracy of the output data is verified and updated utilizing SIS (Student Information System)Campus Solutions data as well as data from the Registrar Office Student Athlete Certification & Eligibility system ROSA.
NCAA GSR (Graduation Success Report). Work in conjunction with Office of Planning and Budget to provide the necessary data for this report.
Knowledge and Use of: WORD EXCEL ACCESS SISCS ROSA ARMS Outlook Outlook Calendar Teams and Zoom.
System Maintenance and Testing. Oversees the use maintenance and training of ROSA. Monitor ROSA daily maintenance reports and communicate actions with OCS SASS the Office of Admissions OA OFA and Associate Deans and/or Academic Advisors.
Coordination of Workflow. Coordinate workflow and give guidance direction and training to staff. Maintain a work schedule with stakeholders to ensure SISCampus Solutions is correct and processes are completed in a timely manner.
Continuous Training of NCAA and Big Ten Rules and Legislation. Attend both NCAA and Big Ten Conference Annual Eligibility Seminars to keep abreast of new legislation and rule changes relating to studentathlete eligibility. Attend monthly Rules Education meetings with OCS.
Maintenance of SISCampus Solutions Data. Responsible for ensuring SISCampus Solutions is updated and revised as needed for all students.
This position may experience fluctuations in workload throughout the academic year with peak periods aligning with athletic eligibility review cycles and reporting deadlines. During nonpeak times the Certification Specialist may be assigned duties that support other functional areas within the Office of the Registrar. These responsibilities may include but are not limited to assisting with transfer credit processing records maintenance enrollment verification graduation processing or special projects that require additional staffing support. This crossfunctional involvement ensures yearround contributions to the offices overall mission promotes operational flexibility and fosters a collaborative team environment.
Most Office of the Registrar staff work a hybrid schedule with at least two days in the office. However there are multiple staff members who are fully remote.
Knowledge normally acquired by completing a four year college degree program in Education Communication or Sociology; one to three years of related and progressively more responsible work experience in Enrollment Services Administration planning and conducting training programs organizational development project work and computer technology; or an equivalent combination of education and experience.
Knowledge of Oracle PeopleSoft Campus Solutions or related student information software. Knowledge and experience as a student athlete. Possession of a learning orientation to changing technology impacting business processes. Ability to develop and present training materials. Minimum three years experience in initiating and completing special projects. Experience working with faculty staff and students in a large multicampus research university preferred.
