Provide extensive secretarial and administrative assistance to the Managing Director (MD).
Oversee the MD s schedule arrange meetings coordinate appointments and plan business travel conferences and events.
Draft edit and finalize professional documents reports presentations and official communications for the MD.
Safeguard confidential and sensitive information with the highest level of professionalism and discretion.
Serve as the primary liaison for the MD when interacting with internal teams and external partners.
Record meeting minutes and track deliverables from executive discussions.
Maintain an organized filing system records and an uptodate contact database for the MD.
Arrange all logistical details for board meetings leadership gatherings and external engagements.
Screen and prioritize incoming correspondence (emails phone calls and postal mail) responding or redirecting as needed.
Collaborate with various departments to facilitate strategic and operational projects.
Requirements
Minimum Diploma in any field preferably in Company secretarial field from a recognized higher learning institution
Minimum of 5 years relevant company secretarial experience in a larger corporation or public listed Companies with exposure engaging with departments Head internal and external
Conversant in English/Malay or any 3rd language with full spectrum of secretarial / administration work
Driven energetic customer focus with exposure to minutes of meeting following up trustworthy and able to manage any confidential information professionally
Strong attention to detail and commitment to accuracy.
Mature and pleasant personality
Based in Petaling Jaya and willing to travel within business locations from time to time/ weekly based on the necessitated
