Job Description

Job Title: Receptionist Administrative Office

Exemption Status/ Test:NonExempt

Reports to:Chief Financial Officer

AnnualWork Calendar Days:226 Days


Primary Purpose:

Under moderate supervision respond to inquiries from staff students parents and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the central administration office.

Provides a range of administrative support and coordination of projects for the CFO. Responsible for maintain high standards of professionalism efficiency personal communication discretion and independent judgment. In working with internal and external contacts including Board Trustees. This position deals with a wide range of highly sensitive issues under tight deadlines and pressures.

Qualifications:

Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

Ability to operate multiline phone system

Effective public relations organization communication and interpersonal skills

Ability to speak read and understand English

Ability to read and comprehend instructions

Ability to effectively present information in oneonone situations

Proficient in keyboarding 10key numerical data entry and file maintenance

Experience:

Job related experience is required

Receptionist Responsibilities:

  1. Receive and direct incoming calls take reliable messages and route to appropriate staff.
  2. Greet visitors (e.g. public parents students substitutes vendors etc. respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
  3. Maintain visitor log and issue visitor passes.
  4. Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
  5. Receive a variety of items (e.g. mail special deliveries packages supplies etc. for distributing materials to appropriate parties.
  6. Maintain reception area materials (e.g. job applications newsletters event calendars etc. for providing resource information to visitors.
  7. Perform general clerical functions (e.g. scheduling copying faxing data entry filing processing outgoing mail maintaining mail machine etc. for supporting office operations.

Secretary Responsibilities:

  1. Wide variety of administrative support to the CFO and department under CFOs supervision.
  2. Manages CFOs calendar to prioritize and resolve conflict. Ensure all commitments and deadlines are met.
  3. Prepares responses correspondence meeting materials schedules and other forms of communications.
  4. Performs standard office tasks such as answering telephones filing ordering of supplies faxing and copying and reserving meeting rooms. Collects and opens all mail addressed to CFO.
  5. Makes deposits for transcripts and athletic ticket sales.
  6. Receives all athletic game paperwork processes payment for sports officials and game workers. Will work with payroll and/or accounts payables.
  7. Responsible for rentals of BCISD facilities contracts and deposits.
  8. Responsible for School Board Elections.
  9. Undertakes special assignments and/or projects on a wide variety of responsibilities as assigned by the CFO.

Knowledge Skills Abilities:

  1. Provide clerical assistance as needed.
  2. Compile maintain and file all reports records and other documents as required.
  3. Maintain confidentiality.
  4. Follow district safety protocols and emergency procedures.
  5. Performs other related duties as assigned for ensuring the efficient and effective functioning of the work unit.
  6. Must have the ability to observe and maintain a high degree of confidentiality and professionalism.
  7. Must be proficient detailedoriented and accurate to assist in running a smooth office environment.
  8. Proficient computer skills. Including but not limited to; Microsoft Word Microsoft Excel Google Mail Microsoft PowerPoint Google Docs/Calendars.
  9. Communicate effectively with all levels of personnel. Communicate professionally with a variety of personalities.
  10. Functional knowledge of company operations and procedures to accurately interpret documents and instructions to act properly and promptly.
  11. Perform other duties assigned.

The position requires occasional walking standing sitting bending stooping kneeling crouching crawling and lifting/carrying work related items weighing less than 40 pounds such as books papers and presentation materials. The employee is regularly required to use hands to finger handle or feel objects tools or controls; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision color vision and the ability to adjust focus. Attendance at conferences and professional development is required. Work involves everyday risks and discomforts which require normal safety precautions when operating equipment or performing job duties. May work prolonged or irregular hours and must be able to maintain emotional control under stress.
