Job Description

JOB TITLE: Administrative Assistant/ Intake Coordinator

DEPARTMENT: Seattle ARP

STATUS: Regular FullTime NonExempt

REPORTS TO: Administrator for Business/Officer

PAY RATE: $22.50 per hour

EDUCATION AND WORK EXPERIENCE:

  • BA in a Social Service field preferred
  • Two 2 years of related experience.

PHYSICAL REQUIREMENTS:

  • Ability to sit walk stand bend squat climb kneel and twist on an intermittent or continuous basis.
  • Ability to grasp push and pull objects such as files file cabinet drawers and other office equipment.
  • Ability to communicate clearly on the telephone.
  • Ability to lift up to 30 lbs.
  • Ability to perform various repetitive motion tasks

ESSENTIAL JOB DUTIES:

  1. Conduct screening interviews with applicants seeking admission to the ARP program conferring with referral agents and requesting necessary background information. Make admission decisions based on personal interviews and written information.
  2. Process admitted Participants by orienting them to the program explaining rules and regulations obtaining necessary signatures and initiating case record folders. Dispense canteen and ID cards clothing requisitions and take personal inventories. Arrange dormitory assignments and interviews.
  3. Refer rejected applicants to more appropriate community agencies and institutions.
  4. Maintain ongoing contact with current and prospective referral sources to ensure an adequate level of referrals and maintain program integrity.
  5. Prepare Participant electronic files and statistical reports required by program policies.
  6. Prepare weekly Case Management and Staff Meeting reports as assigned.
  7. Attend interagency meetings and conferences as needed.
  8. Maintain records of medical and psychiatric appointments as required.
  9. Prepare and distribute daily appointment records listing all Participant appointments within and outside the program.
  10. Prepare Participant case folders with appropriate forms as required by SUDP Counselors.
  11. Maintain overall maintenance and security of closed files as assigned.
  12. Maintain confidentiality for the operation of the ARP recovery program.
  13. Obtain written approval from the supervisor for any overtime work.
  14. Regularly meet and work with Participants specifically for employment and housing services.
  15. Develop and monitor goals with Participants directly related to employment and housing.
  16. Maintain and update employment and housing plans accordingly.
  17. Develop and maintain FCS billing requirements and deadlines.
  18. Manage the status of FCS accounts and balances and identify inconsistencies.
  19. Write thorough reports on billing activity with clear and reliable data.
  20. Assume the responsibility of receiving and sorting incoming payments with attention to credibility.
  21. Review and verify the accuracy of billing and supporting documentation as required.
  22. Ensure timely and accurate preparation and delivery of weekly Participants invoicing.
  23. Ensure timely and accurate completion of all month quarter and yearend reports.
  24. Update accounts receivable database with new accounts or missed payments.
  25. Attend FCS & Amerigroup meetings and conferences as needed.
  26. Perform other duties as assigned by the supervisor Administrator or designated representative.

Employees are covered by an employer paid life insurance policy. Voluntary supplemental life shortterm and longterm disability plans are available.

Retirement Plans: Employerfunded Money Purchase Pension Plan (Defined Contribution Plan) 50 vested at 5 years eligible service time employee funded voluntary 403(b) options

Parental Leave: Benefit will be one week 5 business days) of paid leave at the employees normal rate of pay for births adoptions and foster placements.

Sick Leave: 12 days annually accruing from day one eligible for use after 3 months service time.

Paid Vacation: 2 weeks annually accruing from day one for nonexempt positions. 4 weeks annually accruing from day one for exempt positions. Accrued vacation is eligible for use after 6 months service time.

Paid Holidays: 13 designated holidays 1 floating holiday per year.
