Job Description

BUSINESS OPERATIONS MANAGER
GENERAL SUMMARY
We are seeking a Business Operations Manager to enhance the organizational efficiency and effectiveness of our financial operations and other key areas that can benefit from process improvements and management. This role based in our corporate headquarters in Boca Raton FL is crucial for managing and refining our operational processes and the technology platforms that underpin our corporate accounting and other areas of our operation. The successful candidate will focus on analyzing existing practices identifying areas for improvement and implementing changes that streamline operations and optimize our expenditures.
This role collaborates with key stakeholders across various departments to understand their needs based on our corporate policies systems and team and work towards more efficient practices. You will be responsible for assessing potential changes anticipating impacts and developing mitigation strategies to minimize risks prior to implementation. This position requires strong analytical skills to evaluate processes make datadriven decisions and present recommendations that support organizational goals and operational excellence. This position is a vital member of our corporate accounting team.
ESSENTIAL FUNCTIONS
  • Lead the charge in analyzing and reengineering policies processes and systems to boost efficiency and effectiveness of our corporate accounting operations:
Design and implement streamlined processes that meet the strategic objectives of the organization.
Oversee the daily management of financial and operational programs ensuring they meet strategic objectives.
  • Support the inprogress implementation and integration of NetSuite OpenAir and HubSpot including the use of AI where practical:
Lead training and provide other support to ensure he consistent effective use of those systems.
Serve as a superuser or administrator for those systems regularly listening and looking for opportunities for improvements enhancements and retraining.
Use principles of change management to ensure effective adoption and ongoing use.
Manage the renewal process for those platforms to ensure the operational and financial priorities of the organization continue to be effectively addressed.
  • Serve as the internal product owner and administrator of Ramp our corporate credit card and expense management platform implementing effective controls to prevent unauthorized purchases.
  • Provide financial and operational management and oversight of our travel expense policies.
  • Lead or support other projects and special assignments to support cost controls promote full and effective utilization of tools and platforms and in other ways support the success of Etherio and our team members.
  • Leveraging insights from the software applications that touch our accounting processes and your regular engagement with others throughout the organization use your keen analytical skills to identify opportunities for process enhancements system improvements policy changes and training opportunities and communicate these insights effectively to influence change.
  • In partnership with our controller and other members of the corporate finance team drive operational excellence with a focus on supporting the entire organizations efforts to achieve bestinclass performance.
  • Serve as a subject matter expert in financial operations and related software platforms providing guidance and support to other departments as needed.
MINIMUM REQUIREMENTS
  • A minimum of five years of related work experience is required.
  • Relevant experience in financial and technology operations.
  • Strong understanding of accounting processes and software systems.
  • Excellent analytical skills and attention to detail.
  • Proficiency in financial software and tools that enhance process efficiency.
  • Strong organizational and multitasking abilities.
  • Proficiency with Microsoft Office Suite.
  • Background in developing and implementing policies to achieve compliance.
  • Understanding and preferably experience in managing corporate card programs (Ramp preferred).
  • Detail oriented with strong organizational and time management skills.
  • Adaptable friendly reliable enthusiastic and articulate demeanor.
  • Problem solver who identifies root causes resolves issues and enacts corrective plans to prevent recurrence.
  • Superior written and verbal communication skills as well as interpersonal skills.
  • Experience building and maintaining strong relationships with stakeholders to foster buyin and collaboration.
  • Highly motivated and able to thrive and think clearly under pressure and tight deadlines.
  • Team player with a positive attitude.
PREFERRED QUALIFICATIONS
  • Experience with NetSuite HubSpot Smartsheet and OpenAir.
  • Experience with software platform administration.
  • Affinity for training others.
  • Experience with process improvement.
  • Track record of successful change management.
WORKPLACE LOCATION REQUIREMENTS
This position will be based in our Boca Raton FL office with a combination of remote and inoffice presence.
TRAVEL REQUIREMENTS
Ability to travel approximately 1 2 times per year.

  • The noise level in the office work environment is usually low to moderate.
