Job Description

As a Clinic Administrator you will be an integral part of a collaborative team focused on delivering seamless services and programs to our clients and customers. If you are looking for a company that is constantly moving forward in pursuit of successful outcomes get ready to love it here!

What youll be doing:

  • Greet clients and notify clinicians when clients arrive
  • Manage the flow of client appointments to protect confidentiality and overcrowding
  • Manage switchboard and route incoming calls efficiently
  • Coordinate and delegate office space for clinicians visiting staff members and clients
  • Ensure security and effective transfer of client files
  • Organize clinical schedules and inform clinicians of identified changes
  • Resolve scheduling errors and assist with rebooking clients
  • Perform general office duties including: handling the courier incoming mail and sorting faxes
  • Arrange meeting rooms including set up of refreshments
  • Send office memos including property management information when required
  • Maintain office and kitchen supplies
  • Liaise with building maintenance and suppliers/vendors
  • Collect samples for drug testing when required
  • Process payment and issue receipts to clients
  • Track and record client attendance for evening groups
  • Assist with special projects related to clients or staff

        What were looking for:

        • Minimum 2 years experience in a professional office and customer service environment
        • Experience with Word Excel and PowerPoint and comfortable using other technical platforms
        • Postsecondary education and courses in psychology and/or business administration would be an asset
        • Strong organizational and time management skills
        • Excellent verbal and written English communication skills; French would be an asset
