Reporting to the Associate Director of Finance and Operations the incumbent will oversee expenditures for the Department of Industrial Engineering and Operations (IEOR) accounts and the daytoday financial and operational activities in the department. In this capacity the incumbent will: Manage departments student casual appointments through the entire hiring process; Develop and present processes and best practices for causal hires with other departments in SEAS and across the university; Approve and run reports for time sheets for finance interns student instructional workers tutors ambassadors and other casual employees; Document knowledge of policies and procedures and distribute across the department; Assist with purchase orders purchasing requisitions vouchers in ARC check requests and expense reimbursements; Keep accurate documentation for auditing and record retention; Produce and monitor departments financial reports on a regular basis; Manage IEOR Department periodic marketing materials
Responsibilities
45 Human Resource responsibilities:
Manage all aspects of casual appointments including CAs TAs researchers and interns
Facilitate seamless onboarding experiences for new hires ensuring all necessary documentation is complete and submitted to the HR hiring system
Assist with the adjunct faculty appointment process
Track the hiring status for casual hires and adjunct faculty appointments
Process approvals and timesheets for various roles.Assist in processing reimbursements using Concur
Review faculty/staff reimbursements submitted in Concur as needed
Process invoice vouchers and handle departmental purchases
Collaborate with other departments and university entities to ensure compliance with financial policies and procedures
Communicate financial policies and guidance to staff and faculty
Maintain accurate documentation for auditing and record retention
Produce and monitor financial reports on a regular basis
Assist with purchase orders purchasing requisitions vouchers in ARC check requests and expense reimbursements.
Manage design and produce departmental marketing newsletters and publications
Update and produce staff/faculty roster and event posters
Manage social media posts for department announcements
Manage periodic marketing materials for the IEOR Department.Assist with grant submission and budgeting during periods of high volume
Research sponsor policies and procedures and guide faculty during preand postaward activities.Minimum Qualifications
A bachelors degree and a minimum of 24 years of related financial experience are required.
Must be able to learn university electronic processing systems quickly. Experience with university electronic systems (purchasing accounts payable payroll) and databases is strongly desirable.
Rigorous attention to detail and accuracy is essential; managing multiple priorities with poise and discretion is required.
Strong computer literacy/proficiency required: an understanding and appreciation of higher education financial system student services database software and online resources and the willingness to respond to the needs of faculty staff and students in a technologically oriented society. Proficiency with Google suite of products MS Office (especially Excel) and publishing software is a must.
Ability to work independently and under pressure with a high level of attention to detail. Must be able to prioritize multiple tasks with minimal supervision.
Candidate must exercise good judgment and flexibility with a studentwellness mindset. Positive missionoriented forwardthinking attitude and sense of humor a must.
Must be able to communicate effectively and tactfully with staff faculty students employers and alumni. Excellent command of English (verbal and written).
