Job Responsibilities
Calendar and Schedule Management
- Organize and maintain calendar including meetings appointments and travel plans.
- Coordinate logistics for personal and businessrelated events.
- Prioritize and manage requests and ensure timely followup on calendar items.
Travel Arrangements:
- Plan and book travel including flights accommodations and transportation.
- Create detailed itineraries and ensure all travel requirements are met.
- Manage lastminute travel changes or adjustments as necessary.
Personal and Household Management:
- Oversee household staff and services ensuring the smooth running of the home.
- Arrange personal appointments including health care beauty and wellness services.
- Handle personal shopping and errands.
Communication and Correspondence:
- Screen and manage phone calls emails and other communications.
- Draft and edit letters emails and other correspondences
- Act as a liaison between the HNWI and their personal/business contacts.
- Take dictations and records of minutes of meetings and track action items.
Event Planning and Coordination:
- Plan organize and execute social and business events
- Ensure all details are meticulously arranged for both large and small gatherings.
Financial and Legal Support:
- Assist in managing bills payments and other financial tasks.
- Liaise with accountants lawyers and other professionals on behalf of the HNWI.
Confidentiality and Discretion:
- Maintain the highest level of confidentiality and discretion in all matters.
- Handle sensitive information with utmost care and professionalism.
Research and Special Projects:
- Conduct research on various topics as requested and assist in special projects as needed
Requirements
- Postsecondary education in Real Estate Marketing or a related field.
- Minimum of 2 years of experience in Property Management Real Estate or a related field.
- Proven experience as a Personal Assistant Executive Assistant or similar supporting role in the Real Estate or Property Management Industry.
- Strong organizational and project management skills.
- Excellent communication presentation and customer relations skills to maintain positive relationships with tenants and property owners.
- Proficiency with Microsoft Office tools especially Excel Word and PowerPoint.
- Experience with social media platforms and basic knowledge of content creation for marketing purposes.
- Problemsolving skills and ability to handle highstress situations effectively.
